About the Role
The Vendor Operations Executive will be responsible for managing day-to-day vendor coordination, assigning tasks, ensuring adherence to timelines, and supporting payment and approval workflows. This role involves working closely with internal teams and external vendors to ensure task completion, operational efficiency, and vendor satisfaction.
Key Responsibilities
1.Vendor & Task Coordination
- Assign daily tasks to vendors based on availability, location, skill requirements and workload.
- Track and monitor ongoing work to ensure timely completion within defined TAT.
- Follow up with vendors for task updates, dependencies, and delays.
- Ensure service quality and adherence to SOPs.
2.Operations & Process Management
Maintain vendor performance reports and dashboards (task completion, TAT, delays, status logs).Monitor escalations and proactively resolve or forward to relevant teams.Coordinate with internal teams (ops, QA, logistics, finance) to ensure smooth task flow.Maintain records, tracking systems, and tools for vendor operations.3.Payment & Approvals
Verify vendor invoices and work completion before processing payments.Coordinate with finance for payment approvals and disbursement.Maintain payment tracker and vendor ledger status.4.Vendor Relationship Management
Build and maintain strong working relationships with vendors.Communicate policies, process updates, and performance expectations clearly.Assist in onboarding of new vendors.Requirements
Bachelor’s degree in Business, Operations, Supply Chain or related field.Experience in vendor management, operations, procurement, logistics, or service coordination preferred.Strong follow-up, coordination, and planning skills.Good communication and interpersonal skills.Ability to work in a fast-paced and process-driven environment.Proficiency in MS Excel, Google Sheets or similar tools.Good to Have
Experience in field operations, workforce management or service execution.Knowledge of payment cycles, invoicing or vendor contracts.What We Offer
