Job Purpose

Oversee the implementation and integration of Faculty Information Systems (e.g., Digital Measures and Interfolio), establish and manage robust data management structures, address department-related software needs, and lead the RCI review process in close coordination with the Sr. AD / AD.

Job Outline

  • The job holder is responsible for managing faculty information management tools such as Digital Measures and Interfolio.
  • The incumbent will design and implement efficient data management processes to meet long-term reporting and accreditation requirements.
  • Responsibilities also include leading faculty research data tracking through Digital Measures, supporting accreditation reporting, and coordinating the AMR process.
  • The position requires close collaboration with Sr. AD / AD to implement the comprehensive RCI review process, including budget reviews.

    Key Responsibilities % Time Spent

    Manage faculty information management tools (Interfolio, Digital Measures) - 25%

    Design and implement a comprehensive data management and reporting system - 25%

    Support Annual Merit Review (AMR) by providing data and assisting with communication - 25%

    Accreditation Data Reporting and Faculty Cohort Data Submissions - 15%

    Coordinate the RCI review process, including budget reviews - 10%

    Total Time Spent on all Responsibilities - 100%

    KRA - Manage faculty information management tools such as Digital Measures and Interfolio.

    KPI - Ensure that new features are added to the tools such as Digital Measures and Interfolio modules to meet changing requirements and to simplify reporting.

  • Ensure that the existing functionality of the tools are utilized to the maximum and data is reported from the tools as desired.
  • Coordinate with the tool's customer service teams regularly as needful.
  • Measure - Data accuracy and efficient coordination

    KRA - Strategize, design, and implement data management and reporting systems

    KPI - Assess department reporting requirements

  • Design a scalable and sustainable data framework
  • Support AD in framework development
  • Lead preparation of reports (Word, Excel, PPT)
  • Ensure high accuracy and structure
  • Timely submission of EB, quarterly, annual, and productivity reports
  • Support long-term reporting
  • Measure - Accurate and timely creation of reports; meeting deadlines; effective stakeholder support

    Weightage - 25%

    KRA - Manage faculty annual merit review (AMR) process

    KPI - Ensure that the necessary AMR documents are submitted by the faculty on time and the documents are up-to-date and error-free.

  • Prepare and submit teaching evaluations files for all resident faculty members.
  • Prepare and submit committee contributions files for all resident faculty members.
  • Prepare and submit other files as deemed necessary as part of AMR process.
  • Measure - Accurate, and timely submission of data

    Weightage - 25%

    KRA - Accreditation Data Reporting and Faculty Cohort Data Submissions

    KPI - Prepare accreditation reports in coordination with internal teams

  • Coordination with the Dean's office and F&R leadership as needful.
  • Compile cohort data for review, promotion and tenure
  • Measure - Accurate and timely submission of the data

    Weightage - 15%

    KRA - RCI review process including the Budget reviews

    KPI - Coordinate half-yearly RCI reviews

  • Develop review formats
  • Collaborate with Finance and RCIs on budget preparation
  • Align RCI budgets with annual action plans
  • Ensure seamless coordination and timely submissions
  • Measure - Timely and accurate completion of RCI reviews and budgets

    Weightage - 10%
