Role Overview
The Event Production Designer is responsible for conceptualizing, planning, and executing the entire visual and spatial design for events, conferences, exhibitions, and branded experiences. The role blends creativity with strong technical knowledge to create immersive environments that enhance attendee experience and align with client objectives.
Key Responsibilities
1. Concept Development
Develop creative themes, stage concepts, and visual identities based on event brief.
Create concept boards, mood boards, visual references, and initial sketches.
Provide innovative ideas for stage design, branding, exhibition booth layouts, installations, and audience engagement zones.
2. 3D & Graphic Design
Produce high-quality
3D stage designs ,
venue layouts ,
branding mock-ups , and
walkthroughs .
Design event collaterals including backdrops, panels, signage, kiosks, counters, standees, and digital screens.
Ensure all designs follow client brand guidelines and event tone.
3. Technical Drawings & Production Outputs
Create precise technical drawings for fabrication teams including dimensions, materials, lighting plans, and structural details.
Prepare print-ready files for vendors.
Collaborate with production managers to select appropriate materials and fabrication techniques.
4. Coordination With Internal Teams
Work closely with Client Servicing, Production Operations, Vendor Management, and AV teams to ensure design feasibility.
Participate in pre-event meetings, technical rehearsals, and site recces.
Modify designs based on feasibility, cost, and technical constraints.
5. On-Site Supervision
Oversee the on-ground setup to ensure design accuracy and quality.
Coordinate with fabricators, decorators, AV technicians, and branding vendors.
Ensure all production outputs match approved designs and meet quality standards.
6. Client Interaction
Present concepts and walkthroughs to clients professionally.
Understand client vision and incorporate feedback into design iterations.
Provide creative recommendations that enhance the overall event experience.
7. Quality Control
Ensure all printed and fabricated items are aligned with approved color codes, measurements, and design accuracy.
Maintain consistency in branding across all event touchpoints.
8. Documentation & Archiving
Maintain design archives, version control, and project documentation.
Prepare post-event reports showcasing final designs vs executed output.
Key Skills & Competencies
Technical Skills
Proficiency in
3D software : 3Ds Max / SketchUp / Cinema 4D / Blender
Proficiency in
Design software : Photoshop, Illustrator, CorelDRAW, InDesign
Knowledge of materials, fabrication processes, large-format printing, and stage / AV setups
Ability to produce detailed technical drawings
Understanding of lighting design and guest flow in event spaces
Soft Skills

Qualifications
Bachelor’s degree / diploma in Event Design, Fine Arts, Visual Communication, Interior Design, or related field.
2–5+ years of experience in event design, production, stage design, or exhibition design (experience in medical conferences is an added advantage).
Work Environment
Hybrid of office, fabrication workshop visits, and on-site event execution.
Will require travel based on event locations.
Extended working hours during pre-event and on-site days.
