Role Overview
The Operations & Costing Executive will play a key role in the backend planning and financial management of Trzy’s events. This position involves preparing detailed costings, coordinating with vendors and internal teams, managing purchase orders, and ensuring accurate billing and reconciliation post-event.
You’ll be at the center of every project’s operational and financial backbone — ensuring every rupee and resource is well spent.
Key Responsibilities
- Event Costing & Budgeting :
- Prepare detailed event cost sheets based on client briefs and internal creative plans.
- Assist the operations team in optimizing budgets and ensuring cost-effectiveness.
- Track actual spends versus approved budgets for every event.
- Vendor Coordination :
- Liaise with vendors and suppliers for quotes, negotiations, and timely service delivery.
- Maintain an updated vendor database with rate cards and service quality records.
- Follow up with vendors for invoices, payments, and required documentation.
- Billing & Reconciliation :
- Ensure all event bills are received, verified, and matched with approved budgets.
- Coordinate with the accounts team for timely reconciliation of costs.
- Maintain cost summaries and reports for post-event analysis.
- Operational Support :
- Assist senior operations managers in on-ground logistics planning when needed.
- Support in procurement, vendor contracts, and compliance documentation.
Required Skills & Qualifications
Bachelor’s degree in Commerce, Business Administration, or Event Management.2–4 years of experience in event operations, costing, or finance coordination (agency experience preferred).Strong knowledge of MS Excel / Google Sheets and cost-tracking tools.Excellent communication and negotiation skills.High attention to detail, accuracy, and accountability.Preferred Attributes
