Position : Onboarding Specialist- IT US Backoffice Operations

Location : India – Remote

Shift : Night Shift (6 : 30 PM – 4 : 30 AM IST)

Job Summary

We are seeking a highly organized, detail-oriented, and proactive Onboarding Specialist to support our US IT Operations. The ideal candidate will thrive in a fast-paced environment, manage multiple priorities, and ensure operational excellence while maintaining the highest level of confidentiality and professionalism.

Key Responsibilities

1. Onboarding Management

  • Lead and manage the complete onboarding lifecycle, from offer acceptance to employee integration.
  • Design and implement structured onboarding programs aligned with company culture and business needs.
  • Ensure seamless coordination of pre-joining activities including documentation, background verification, and system access.
  • Oversee vendor onboarding and managing negotiations.
  • Coordinate with internal teams for provisioning equipment, supplies, and system access before start dates.
  • Communicate essential onboarding details (start dates, reporting instructions, etc.) to new hires.
  • Maintain accurate onboarding records ensuring compliance with company policies.
  • Collaborate closely with IT, HR, and Facilities for onboarding readiness.

2. Employee Experience

  • Act as the primary point of contact for new hires throughout their onboarding journey.
  • Partner with HR Operations to deliver engaging orientation sessions covering policies, values, and culture.
  • Collect feedback from new hires to identify improvement opportunities in the onboarding process.
  • Create a positive, professional, and welcoming experience for all new employees.
  • 3. Process Improvement & Compliance

  • Standardize and document onboarding workflows while ensuring compliance with labor laws, HR policies, and organizational standards.
  • Partner with IT, Admin, and Payroll teams for timely system, tool, and resource provisioning.
  • Track and report on onboarding metrics such as new hire satisfaction, retention, and process efficiency.
  • 4. Collaboration & Leadership

  • Collaborate with Talent Acquisition and business leaders to ensure smooth workforce integration.
  • Mentor and guide junior onboarding coordinators and specialists.
  • Lead special projects such as digital onboarding, employer branding, and cultural integration initiatives.
  • Qualifications & Skills

  • 10+ years of experience in IT Backoffice Operations, with at least 5 years specializing in onboarding and / or employee engagement.
  • Strong knowledge of onboarding processes, compliance requirements, and best practices.
  • Team Management
  • Excellent communication, presentation, and interpersonal skills.
  • Proven ability to manage multiple priorities, engage stakeholders, and deliver results within deadlines.
  • Proficiency in MIS, ATS, and onboarding tools; familiarity with BrassRing is a plus.
  • Strong analytical and reporting skills with a data-driven approach to process improvements.
  • Flexibility and willingness to work in night shift (6 : 30 PM – 4 : 30 AM IST).
