Project Coordination Associate
Position Summary :
We’re recruiting a Project Coordination Associate to support planning, execution, and delivery of our projects across teams and departments. You will ensure that project milestones are tracked, resources are organized, documentation is maintained, and communication flows smoothly between stakeholders. You must be detail-oriented, proactive, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities :
Project Support & Coordination
- Assist project managers in planning, scheduling, and coordinating project activities.
- Monitor project timelines, deliverables, and budgets, flagging potential risks or delays.
- Prepare and maintain project documentation, reports, and status updates.
- Coordinate meetings, prepare agendas, and document meeting minutes and action items.
Communication & Collaboration
Serve as a point of contact for internal teams and external partners.Work with vendors for project / product specifications, negotiations, and timely deliveries.Facilitate communication between stakeholders to ensure alignment on project goals and progress.Support change management and ensure project updates are effectively shared.Tracking & Reporting
Maintain project tracking tools (e.g., Smartsheet, Asana, Monday.com, Jira, MS Project).Generate and distribute regular progress reports, dashboards, and performance metrics.Assist in post-project reviews to identify lessons learned and process improvements.Administrative & Process Support
Support procurement, resource allocation, and logistics as required.Ensure project files, contracts, and approvals are properly stored and organized.Contribute to developing and refining project management templates and processes.Qualifications : Education :
Bachelor’s degree in Business Administration, Project Management, Communications, or a related field (or equivalent experience).Experience :
1–3 years of experience in project coordination, operations, or administrative support.Experience working in cross-functional teams or supporting multiple projects simultaneously.Skills & Competencies :
Strong organizational and time-management skills.Excellent written and verbal communication abilities.Proficiency in project management software (e.g., Asana, Trello, Smartsheet, MS Project).Detail-oriented with the ability to manage competing priorities.Basic understanding of project management principlesProficient in Microsoft Office Suite or Google Workspace
