Job description

Key responsibilities

  • Calendar management : The EA is responsible for the CEO's often complex and demanding calendar, including prioritizing inquiries, scheduling meetings, and ensuring the CEO is fully prepared for all engagements.
  • Communication handling : Serving as the primary point of contact, the EA manages all communications on behalf of the CEO, including screening phone calls and monitoring, prioritizing, and drafting emails.
  • Travel and event coordination : The EA coordinates all aspects of the CEO's travel arrangements, including flights, accommodations, and detailed itineraries. They also plan and manage company events, meetings, and retreats.
  • Document and report preparation : This includes preparing, editing, and formatting confidential correspondence, presentations, reports, and memos for the CEO and senior leadership.
  • Confidentiality and discretion : A high level of integrity and discretion is required to handle sensitive information related to personnel, finances, and corporate strategy.
  • Project management : The EA often manages and oversees special projects and initiatives on behalf of the CEO, tracking progress and following up on action items to ensure company priorities are met.
  • Liaison activities : The EA acts as a bridge for smooth communication between the CEO and internal teams, the board of directors, and external stakeholders.

Essential skills and qualifications

  • Experience : Most positions require a minimum of 3 to 5 years of experience in a similar administrative or executive support role, preferably supporting C-level executives.
  • Education : A bachelor's degree in business administration, communications, or a related field is often preferred, though it is not always a strict requirement, as experience can be prioritized.
  • Exceptional organizational skills : The ability to multitask, manage multiple concurrent projects, and maintain meticulous attention to detail is critical for success.
  • Strong communication : Excellent written and verbal communication skills are necessary for effective interaction with stakeholders at all levels.
  • Problem-solving : The EA must be a proactive and creative problem-solver who can anticipate needs and address challenges without direct guidance.
  • Technological proficiency : Expertise in office productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential. Familiarity with other software for project management, communication, and calendar management is also expected.
  • Adaptability and emotional intelligence : The role requires the ability to thrive in a fast-paced, high-pressure environment, adjust to changing priorities, and possess high emotional intelligence to handle sensitive situations.
