Job Title : Assistant Director – Events

Department : Department of Animation, Creative Arts, and Design (DACA)

Location : Chandigarh University, Gharuan, Mohali, Punjab

Position Overview :

The Assistant Director – Events will be responsible for conceptualizing, planning, and managing all creative, academic, and cultural events organized by the DACA department. The role requires a dynamic professional with strong leadership, coordination, and communication skills to ensure that departmental events reflect the innovation and artistic excellence of Chandigarh University’s creative community.

The Assistant Director will oversee event strategy, production logistics, team management, and promotional outreach, ensuring a seamless execution of all DACA activities including exhibitions, film festivals, design expos, workshops, competitions, and industry interactions.

Key Responsibilities :

1. Event Strategy and Planning

  • Develop and implement an annual calendar of departmental events aligned with academic goals and university branding.
  • Conceptualize creative event themes and formats that showcase the talent and innovation of DACA students and faculty.
  • Prepare detailed event proposals, budgets, and execution timelines.

2. Coordination and Execution

  • Lead the planning and on-ground management of events including cultural fests, film screenings, art exhibitions, workshops, seminars, and competitions.
  • Coordinate logistics such as venue setup, permissions, equipment, stage design, and technical arrangements.
  • Supervise event production teams, vendors, and support staff to ensure smooth execution.
  • 3. Collaboration and Communication

  • Liaise with university departments, industry partners, guest speakers, and artists for event participation.
  • Work closely with faculty coordinators and student committees for organizing departmental initiatives.
  • Maintain effective communication across all event stakeholders and ensure timely updates and reports.
  • 4. Branding and Promotion

  • Oversee the design and dissemination of promotional materials (digital, print, and social media).
  • Collaborate with the DACA media team to document and publicize events through photos, videos, and social media campaigns.
  • Strengthen DACA’s visibility by fostering partnerships with industry professionals, art councils, and creative institutions.
  • 5. Budgeting and Resource Management

  • Develop and monitor event budgets, ensuring optimal resource utilization.
  • Handle vendor negotiations, sponsorships, and post-event financial reconciliation.
  • Prepare post-event evaluation reports with analysis and improvement recommendations.
  • 6. Student and Faculty Engagement

  • Mentor student event committees and volunteers, encouraging leadership and creativity.
  • Support faculty members in organizing curriculum-linked events, guest lectures, and showcases.
  • Qualifications and Experience :

  • Master’s or Bachelor’s degree in Event Management, Mass Communication, Fine Arts, Media Studies, or related field.
  • 7–10 years of experience in event planning, preferably in academic, media, or creative arts environments.
  • Proven track record of managing large-scale creative or educational events.
  • Excellent project management, interpersonal, and organizational skills.
  • Proficiency in MS Office, Google Workspace, and familiarity with creative tools (e.g., Canva, Photoshop, Premiere Pro) is a plus.
