We're hiring a hands-on Legal SaaS Tools Specialist to administer and integrate our legal tech stack (Xakia, iManage, CounselLink, Anaqua). You'll build integrations, ensure data integrity, deliver reporting, and drive user adoption across Legal, Finance and IT. 3-5+ years legal systems experience required.
About the role Join our team to own administration, integration and continuous improvement of our legal technology stack. You'll work cross-functionally to streamline matter lifecycle, document management, billing and IP workflows - improving efficiency and data quality across the organisation.
Key responsibilities :
- Administer and configure legal SaaS tools (matter, document, billing, IP).
- Design and maintain integrations (APIs, middleware, SFTP / ETL).
- Perform data mapping, reconciliation and reporting (Power BI / Tableau or native tools).
- Triage incidents, manage vendor escalations and run upgrades / rollouts.
- Create training and documentation to drive adoption.
Must-have :
3-5+ years administering legal SaaS tools; experience with at least 3 of : Xakia, iManage, CounselLink, Anaqua.Practical integration experience (REST APIs, middleware, or ETL).Strong knowledge of legal workflows and reporting tools.Excellent stakeholder and communication skills.1. Core Tool Expertise (Must-Have Skills) :
Xakia (Matter Management) - Proven experience in configuring and managing matter management workflows for in-house legal teams.iManage (Legal Document Library) - Strong knowledge of document management, versioning, access control, and legal knowledge repository best practices.CounselLink (Legal Invoice Management) - Hands-on experience in managing e-billing, legal invoice approvals, matter budgets, and compliance with outside counsel guidelines.Anaqua (IP Management & Legal Case Tracking) - Solid understanding of intellectual property portfolio management (patents, trademarks, copyrights) and case tracking processes.Candidate should already have worked on at least 2-3 of these tools in combination, ideally all four.2. Integration & Technical Strength :
Prior experience integrating legal SaaS tools with ERP / Finance (e.g., SAP, Oracle, Workday) and collaboration tools (SharePoint, Teams).Familiarity with APIs, workflows, and middleware (Boomi, MuleSoft, etc.) for smooth cross-platform integration.Ability to troubleshoot SaaS platform issues and coordinate fixes with IT / security teams.3. Legal & Business Understanding :
Good grasp of legal department operations (matter lifecycle, document retention policies, e-billing rules, IP portfolio lifecycle).Ability to translate legal requirements into system workflows and adapt tools to business needs.Familiarity with legal compliance and data governance.4. Project & Stakeholder Management :
Past success in system upgrades, migrations, and user adoption initiatives.Strong skills in training lawyers, paralegals, and corporate users on SaaS tools.Good at creating reports & dashboards for leadership (matters closed, spend analytics, IP portfolio KPIs).5. Ideal Background :
Work Experience : 5-10 years in legal operations, law firms, or corporate legal departments with SaaS tool management.Education : Law, Business Administration, IT (with legal tech specialization) - Bachelor's required; JD / LLB is a plus.Preferred Employers : Candidates from corporate legal ops teams, top law firms (with legal tech departments), or consulting firms specializing in legal operations (e.g., Elevate, UnitedLex, Integreon, Big4 legal ops consulting).Summary :
