Job description

Role & responsibilities

To manage procurement and coordination with third-party formulation manufacturers and suppliers, ensuring timely availability of raw materials (RM), packaging materials (PM), and finished goods for formulation products. The role focuses on achieving cost efficiency, maintaining compliance with pharmaceutical regulations, and ensuring uninterrupted production and market supply.

Vendor & 3rd Party Manufacturer Management :

  • Identify, evaluate, and onboard new third-party formulation manufacturers and packaging vendors.
  • Ensure vendor qualification and compliance as per QA, Regulatory, and Procurement SOPs.
  • Maintain and update vendor master data, agreements, and audit documentation.
  • Conduct periodic vendor performance evaluations based on quality, delivery, and cost metrics.

Procurement & Coordination :

  • Raise and process purchase requisitions and purchase orders in coordination with the Planning and Commercial teams.
  • Ensure timely procurement of raw and packaging materials for ongoing and upcoming batches at 3rd party sites.
  • Coordinate with 3rd party manufacturers to ensure smooth production, batch planning, and dispatch schedules.
  • Cost & Supply Chain Optimization :

  • Source alternate suppliers for key materials to reduce cost and lead time.
  • Support cost-saving initiatives through negotiation and supplier rationalization.
  • Monitor stock levels and ensure optimal inventory to prevent shortages or excess.
  • Quality, Documentation & Compliance :

  • Ensure adherence to cGMP, GDP, and company quality standards across all procurement activities.
  • Coordinate with QA for vendor audits, sample evaluations, and technical / quality agreements.
  • Maintain documentation such as COAs, stability data, MSDS, and vendor certifications.
  • Ensure compliance with regulatory and statutory requirements for pharmaceutical sourcing and production.
  • Skills & Competencies :

  • Strong negotiation and vendor management skills
  • Good understanding of formulation manufacturing processes (OSD, liquids, ointments, etc.)
  • Knowledge of pharma regulatory and quality systems (GMP, WHO, ISO)
  • Strong coordination and follow-up discipline
  • Analytical and problem-solving ability
  • Documentation accuracy and audit readiness
  • Effective communication and interpersonal skills
  • Preferred candidate profile

  • Education : B.Pharm / M.Pharm / B.Sc. (Chemistry) or equivalent. MBA or Diploma in Materials Management preferred.
  • Experience : 3-5 years of experience in formulation procurement or 3rd party manufacturing coordination within the pharmaceutical industry.
  • System Knowledge : Proficient in SAP and MS Excel.
