Job Title : Lease Administrator / Lease Analyst
Location : Vadodara, Gujarat
Shift Timing : 2 : 00 PM – 11 : 00 PM (May be rotational as per business requirement)
About the Role :
We are seeking a detail-oriented and proactive Lease Administrator to support our real estate operations team. The ideal candidate will have experience in lease administration, accounts payable (AP), and bookkeeping within the real estate sector. This position requires a blend of analytical thinking, financial accuracy, and effective communication skills to manage lease data, payments, and compliance across multiple properties.
Key Responsibilities :
- Monitor and track lease expirations, rent escalations, co-tenancy clauses , and other lease terms to ensure compliance with internal policies and external agreements.
- Review and validate invoices and lease documents to identify discrepancies, savings opportunities, and initiate appropriate corrective actions.
- Manage the accuracy and timeliness of monthly rent calculations and payments , including off-cycle adjustments.
- Conduct desktop audits of CAM (Common Area Maintenance), Real Estate Taxes, and Insurance reconciliations to ensure proper accounting treatment.
- Abstract and enter lease data (including renewals and amendments) into the Database system and maintain up-to-date digital records.
- Coordinate GL codes and vendor payee details with the Accounts Payable (AP) team to ensure correct financial entries.
- Track and reconcile security deposits and ensure timely documentation.
- Manage requests for insurance certificates —verify compliance and initiate renewals through insurance brokers as needed.
- Collaborate with landlords, legal, and facilities management teams to address and resolve lease-related issues.
- Ensure data integrity and maintain organized electronic lease files and supporting documents.
- Perform other assigned duties and support special projects as required.
Qualifications & Skills :
Education : Bachelor's degree in Accounting, Finance, Commerce, or a related field.Experience : 1–5 years of experience in Lease Administration , preferably within the Real Estate or Property Management industry.Knowledge of Accounts Payable (AP) and Bookkeeping processes in real estate.Strong understanding of lease language and terms used in retail or commercial leases.Proficiency in Microsoft Office , particularly Excel (basic to intermediate level).Excellent communication and analytical skills with keen attention to detail.Ability to multitask and manage deadlines in a fast-paced environment.Experience with lease administration databases (e.g., Stemmons or similar) is a plus.Skills Required
