About the Role
As the Administration & Facility Manager at IIDE’s Andheri campus, you will lead the management of day-to-day operations across facilities and administrative functions, supporting over 300 students and 80 employees. Your role will involve overseeing facility maintenance, ensuring compliance with safety standards, coordinating with vendors, and optimizing campus resources. You will also manage administrative processes, supervise staff, and contribute to sustainability and efficiency initiatives across the institute.
What You’ll Do
Facility & Infrastructure Management
Oversee day-to-day campus operations, ensuring all infrastructure and systems (HVAC, electrical, plumbing) are well-maintained.
Conduct routine inspections to identify issues and ensure timely resolution.
Ensure classrooms, offices, and common areas remain safe, clean, and fully functional.
Develop and implement preventive maintenance schedules.
Administration & Compliance
Manage administrative processes to ensure smooth campus functioning.
Ensure compliance with safety regulations, fire safety checks, and emergency preparedness protocols.
Oversee campus security systems (CCTV, alarms, access control) and ensure adherence to safety guidelines.
Budget & Vendor Management
Manage the facilities and administration budget, monitoring expenditures and identifying cost-saving opportunities.
Negotiate with vendors, manage supplier contracts, and maintain strong external relationships.
Oversee inventory management for supplies and ensure timely procurement.
Space & Event Coordination
Optimize utilization of classrooms, meeting rooms, and event spaces.
Coordinate with academic and event teams for campus activities, ensuring smooth logistics and setup.
Supervise AV setup, seating, and facility readiness for events.
Sustainability & Initiatives
Lead eco-friendly initiatives including recycling, waste management, and energy-saving practices.
Support projects that align with long-term sustainability goals.
People & Team Management
Supervise maintenance, janitorial, and security teams to ensure schedules are followed and tasks completed effectively.
Provide training on safety protocols, compliance, and facility best practices.
Foster a positive, collaborative working environment across internal and external stakeholders.
Requirements
Must-Have :
Minimum 5+ years of experience in facility management, administration, or co-working space management.
Strong knowledge of building systems, safety regulations, and operational processes.
Excellent organizational and multitasking skills.
Strong communication and negotiation abilities for vendor and team management.
Proficiency with Google Workspace (Docs, Sheets, etc.) and facility management tools.
Should Have :
Prior experience supervising maintenance, janitorial, and security teams.
Proven ability to manage budgets and streamline operational processes.
Proactive problem-solving approach with the ability to handle high-pressure situations.
Nice to Have :
A degree in Facility Management, Administration, Engineering, or a related field.
Experience leading sustainability and environmental initiatives.
Educational Background :
Graduate or Postgraduate in Facility Management, Administration, Engineering, or related field preferred.
