Job Title : Executive Assistant
Key Responsibilities
Medical Records & Billing Document Collection
∙Request and collect medical records and medical bills from healthcare providers.
∙Follow up with hospitals, clinics, and medical offices to obtain outstanding
documentation.
∙Retrieve records related to Medi-Cal and Medicare billing as required.
∙Track record requests, receipt status, and outstanding items.
∙Confirm with medical providers that records and bills have been successfully received.
Claims & Compliance Follow-Up
∙Follow up on medical claims and billing statements related to personal injury cases.
∙Communicate with medical billing departments regarding balances, claim status, and
documentation.
∙Ensure all claim-related documents are complete prior to case milestones.
Case File & Documentation Management
∙Upload, organize, and maintain medical records and billing documents in the case
management system.
∙Label and categorize documents accurately for easy retrieval.
∙Verify completeness and accuracy of documents before appointments, hearings, or
settlements.
∙Flag missing or inconsistent documentation for case managers or attorneys.
Administrative & Communication Support
∙Make outbound phone calls to medical offices, billing departments, and third-party
record vendors.
∙Send follow-up emails and faxes as required.
∙Maintain detailed call logs and follow-up notes.
∙Support attorneys and case managers with time-sensitive document requests.
Required Skills & Qualifications
∙Experience in legal administration, medical records retrieval, or personal injury support.
∙Strong phone communication and follow-up skills.
∙High attention to detail and accuracy in document handling.
∙Ability to manage repetitive tasks with persistence and consistency.
