Job Summary
We are seeking a highly organized and proactive US HR Specialist to manage the end-to-end employee lifecycle for our candidates and consultants based in the United States. This role is critical in providing dedicated HR support during US business hours. The ideal candidate will be the primary point of contact for our US bench and active consultants, handling everything from onboarding and payroll coordination to off-boarding, all while ensuring compliance and a positive employee experience.
Key Responsibilities
1. End-to-End Employee Lifecycle Management :
- Onboarding : Prepare and release compelling offer letters, welcome kits, and onboarding documents.
- Bench Management : Proactively engage with consultants on the bench. Keep them motivated, informed about new opportunities, and coordinate any required upskilling or training.
- Payroll & Compliance : Act as the liaison between the consultant and the payroll team. Ensure accurate and timely processing of US payroll by collecting and validating timesheets, leaves, and other relevant data. Address any payroll-related queries promptly.
- HR Support : Serve as the first point of contact for all HR-related queries from US consultants regarding policies, benefits, and day-to-day issues.
- Exit Formalities : Manage the entire separation process, including conducting exit interviews, processing full and final settlements, revoking system access, and ensuring a smooth off-boarding experience.
2. Documentation & Record Keeping :
Maintain meticulous and up-to-date employee records for all US consultants in the HRIS (Human Resource Information System).Ensure all employee files, including I-9, W-4, and other compliance documents, are complete and audit-ready.Manage the documentation for bench status, project deployments, and role changes.3. Compliance & Policy Adherence :
Ensure all HR practices for US personnel are in alignment with company policies and relevant US federal and state labor laws.Stay updated on changes in US employment legislation that may affect our consultants.4. Relationship Management :
Build and maintain strong, trusting relationships with US-based consultants, fostering a sense of belonging and engagement even when they are between projects.Collaborate effectively with the recruitment, delivery, and payroll teams to ensure a seamless flow of information.Qualifications and Skills
Must-Have :A Bachelor's or Master's degree in Human Resources, Business Administration, or a related field.Minimum of 3-5 years of experience in an HR Generalist or Specialist role, with a proven track record of supporting US-based employees.In-depth understanding of US payroll processes, compliance, and core HR functions.Excellent communication skills (both verbal and written) with the ability to interact professionally with individuals in the US.Willingness and ability to work full-time during US shift timings (e.g., 7 : 30 PM IST to 4 : 30 AM IST).
