Job Description – Program Associate (Fellowship)

Position : Program Associate - Elixir Foundation

Project : 'Adolescent and Young People Initiative'

Location : Ahmedabad, Gujarat (with periodic travel within the state)

Nature of Engagement : Full-time, In-Person

Duration : 9 Months (Contractual Position with possibility of extension, subject to performance)

Remuneration : INR 18, ,000 per month

About the Initiative

The Adolescent and Young People Initiative is being implemented by Elixir Foundation to promote healthy diets, amplify youth voices, strengthen life skills, promote sustainability, and drive child-led advocacy on health and road safety in Gujarat. The initiative involves consultations, workshops, training, campaigns, and innovative youth engagement activities at state and district levels.

Role Summary

The Program Associate will be an all-round support resource for the project team, responsible for assisting in planning, coordinating, and executing program activities under the initiative. The role requires strong organizational abilities, multitasking, and communication skills to ensure smooth implementation of events, training, outreach activities, and reporting. The individual should be comfortable working with diverse stakeholders including youth, colleges / schools, experts, government partners, and volunteers.

Key Responsibilities

Program Implementation & Coordination

  • Assist in organizing workshops, trainings, consultations, and campaigns across Gujarat.
  • Support in pre-event logistics : venue booking, participant coordination, travel arrangements, kits / material preparation.
  • Provide on-ground support during events including registration, documentation, coordination with vendors, AV setups, and volunteer management.
  • Liaise with schools, colleges, youth networks, and community groups for smooth rollout of outreach programs.

Program Management & Supervision

  • Maintain activity trackers, budgets, and schedules to ensure timely deliverables.
  • Coordinate with resource persons, photographers, designers, and vendors as required.
  • Ensure compliance with Elixir guidelines.
  • Provide operational support to Program Manager / head and technical experts.
  • Documentation & Reporting

  • Support in preparing event reports, minutes, budgets, and media documentation.
  • Assist in social media coordination (with designers) for campaign materials.
  • Maintain a filing system for all program-related data (participant lists, invoices, feedback forms, etc.).
  • Financial & Administrative Support

  • Ensure expense tracking, bill collection, and submission in coordination with the finance team.
  • Manage travel reimbursements / out-of-pocket expenses for volunteers and experts.
  • Community & Stakeholder Engagement

  • Work closely with youth volunteers, colleges / schools, and networks to ensure active participation.
  • Represent Elixir Foundation in meetings, workshops, and community sessions, if required.
  • Qualifications & Requirements

    Essential :

  • Bachelor's degree in Social Sciences, Public Policy, Development Studies, Public Health, Education, or a related field.
  • Minimum 1–2 years of experience in program coordination / NGO / social sector work (freshers with strong volunteering experience may also be considered).
  • Strong organizational skills with ability to multitask and manage events.
  • Good communication skills in English, Hindi, and Gujarati.
  • Comfort with MS Office (Word, Excel, PPT), Google Drive, and basic digital tools.
  • Flexibility to travel within Gujarat for program activities.
  • Desirable :

  • Experience working with children, adolescents, or community groups.
  • Prior exposure to youth development, health, education, or advocacy programs.
  • Event management / volunteer coordination experience.
