Accounts Payable Specialist – Construction

Job Summary :

We are seeking a highly skilled Accounts Payable Specialist with strong construction industry experience to join our high-performing accounting team. This role is hands-on and involves managing the full-cycle A / P process, with a particular focus on construction draws, subcontractor / vendor compliance, and accurate job cost coding. The ideal candidate will bring not only deep A / P expertise but also broader accounting knowledge to contribute to the team’s overall success.

Key Responsibilities :

Manage the end-to-end Accounts Payable process with a focus on construction-related payables (materials, subcontractors, equipment).

Perform 3-way match and ensure proper job cost coding and documentation.

Handle construction draws , retainage, and progress billings in coordination with project managers.

Maintain subcontractor compliance including lien waivers, W-9s, and certificates of insurance.

Ensure compliance with local / state lien laws and contract terms.

Reconcile invoices, resolve discrepancies, and manage approval workflows.

Process payments via Bill.com and ACH in a timely and accurate manner.

Monitor A / P aging reports, resolve vendor / subcontractor issues, and maintain strong relationships.

Assist with month-end close activities, including reconciliations and job cost reporting.

Support audits by preparing documentation related to vendor and subcontractor payments.

Identify and implement process improvements for efficiency.

Ensure compliance with company policies, internal controls, and external regulations.

Required Qualifications :

Bachelor’s degree in Accounting, Finance, Business, or equivalent experience.

3+ years of hands-on A / P experience (construction industry strongly preferred).

Experience with QuickBooks Online (QBO) is required.

Strong Excel skills (pivot tables, VLOOKUPs, data analysis).

Solid understanding of GAAP, 1099 reporting, lien compliance, and vendor management.

Experience with construction draws and multi-state construction operations.
