About the Role
We are hiring a Property Management Specialist to take ownership of a critical client-facing role within our property operations team. You will be stepping into a position previously managed by a single point of contact so the ability to operate independently manage clients confidently and handle operational tasks efficiently is essential.
This is an in-office role ideal for someone who thrives in a fast-paced environment has a high attention to detail and is comfortable taking initiative with minimal supervision.
Requirements
Key Responsibilities
Manage daily property operations including service requests tenant coordination vendor communication and issue resolution.
Serve as the primary point of contact for clients ensuring professional and timely communication.
Handle financial-related tasks such as billing invoicing and reconciliation tracking .
Follow up on deliverables project timelines and task completion across internal and external stakeholders.
Interpret and apply client-provided documentation to perform duties accurately.
Generate weekly / monthly status reports and keep clients updated on progress and issues.
Proactively identify and escalate blockers risks or delays to internal management.
Maintain organized documentation task tracking and ensure deadlines are consistently met.
Must-Have Qualifications :
Solid understanding of property management operations tenant / vendor coordination and maintenance workflows.
Basic accounting knowledge (billing invoicing reconciliations).
Excellent written and verbal communication skills daily interaction with clients is a key part of the role.
Proven ability to work independently handle client-facing responsibilities and own the workflow.
Strong organizational and time management skills must be able to juggle multiple deadlines.
Comfortable working in a documentation-light environment where SOPs may be limited.
Preferred Skills
Prior experience in client-facing roles particularly within property facilities or real estate operations.
Familiarity with property management tools like Buildium AppFolio Yardi etc.
Ability to manage project updates reports and service-level expectations independently.
Email Prospecting Ability to identify and reach out to leads via email.
Advanced Canva For designing property flyers marketing materials and internal visuals.
Inbox Management Skilled at managing high-volume email inboxes and prioritizing replies.
CRM Management Experience working with customer databases and tracking follow-ups.
Advertising Knowledge Running and managing property ads across online platforms.
Property Listing Creation Strong copywriting and posting skills for property marketplaces.
