Job Description – Payroll Manager

Position Overview

The Payroll Manager will be responsible for end-to-end payroll management, statutory compliance, employee settlements, and ensuring accuracy and timeliness in salary disbursements. The role requires close collaboration with HRBPs, Finance, Treasury, and external vendors to manage payroll processes across Workmen (WC) and Business Contract (BC) categories. The individual will also oversee related activities such as PF, gratuity, NPS, FCTC, and statutory payments, while handling employee queries effectively.

Key Responsibilities

Payroll Processing

  • Prepare monthly payroll calendar and coordinate with HRBPs.
  • Collect, validate, and consolidate payroll inputs including new joiners, CTC changes, bank details, resignations, and LOP updates.
  • Validate CTC, pay registers, salary variance reports, and ensure final payroll accuracy.
  • Process salary JV for Finance and manage TDS payments.
  • Share salary registers, payslips, and reports with HRBPs and plant teams.

Final Settlement (FnF)

  • Collect FnF inputs such as notice period recovery and leave encashments.
  • Validate pay register and reconcile with FCTC tracker.
  • Prepare FnF JV, coordinate with Treasury for fund allocation, and share FnF payslips with HRBPs.
  • Statutory Compliance & Payments

  • Manage PF, Professional Tax, NPS, SAF, and Gratuity payments.
  • Coordinate with Wizemen, Finance, and Treasury for challan validation and fund allocation.
  • Maintain compliance registers and ensure accurate reporting to authorities.
  • FCTC Payments

  • Validate FCTC registers, prepare JVs, and update trackers.
  • Coordinate with payroll vendors and Treasury for fund processing.
  • Administrative Activities

  • Create and update master data (job, dept., location, cost center, employee codes, vendor codes).
  • Approve resignations, separation dates, gratuity corrections, and no-dues clearance for exit employees.
  • Support goal-setting, performance cycle, and reporting for HRBPs.
  • Ensure smooth handling of transfers, supervisory updates, and system corrections.
  • Other Activities

  • Handle employee queries related to payroll, FCTC, investments, leave, and FnF.
  • Support finance with cost analysis, statutory challans, monthly provisions, actuarial valuation data, and ESOP data.
  • Manage audit queries, vendor payments, and error resolution in systems.
  • Provide regular dashboards, reports, and compliance updates to HRBPs, Finance, and management.
  • Skills & Competencies

  • Strong knowledge of payroll systems, statutory laws (PF, PT, NPS, Gratuity, TDS, etc.), and compliance.
  • Proficiency in SAP / HRIS systems, payroll vendor management, and Excel.
  • Analytical ability for cost analysis, reconciliation, and variance reporting.
  • Strong communication and stakeholder management with HRBP, Finance, and external consultants.
  • High attention to detail, process orientation, and problem-solving skills.
  • Qualifications

  • Graduate / Postgraduate in HR, Commerce, or Finance.
  • 8–12 years of experience in payroll management, preferably in manufacturing or large-scale setups.
  • Hands-on experience with SAP / ERP payroll modules and vendor coordination.
  • Knowledge of statutory and compliance-related aspects of payroll
