Responsibilities

  • Conserve the executive’s time by reading, researching, and routing correspondence;
  • drafting letters and documents;
  • collecting and analyzing information;

and initiating telecommunications.

  • Maintain an efficient repository of data, investments, and key information across multiple domains.
  • Manage the executive’s calendar by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Welcome guests and stakeholders in person or via phone, and professionally handle inquiries or redirections.
  • Prepare reports and presentations by collecting and analyzing relevant information.
  • Stay proactive on WhatsApp, emails, and Slack to remain updated and ensure swift turnaround times.
  • Maintain critical documents such as KYC files, credentials, contact lists, and payment details in an organized manner.
  • Oversee day-to-day operations and manage both personal and professional requirements of the executive.
  • Track expenses, maintain invoices and ledgers, and ensure timely reconciliations.
  • Handle sensitive and confidential information with the highest level of discretion.
  • Act as a liaison between the executive and internal / external stakeholders, ensuring clear and professional communication.
  • Follow up on assigned projects and tasks to ensure timely completion and execution.
  • Provide insights and process improvements to enhance the executive’s productivity and decision-making.
  • Contribute to broader team goals and company initiatives as required.
  • Requirements

  • Strong organizational skills with the ability to manage multiple priorities and tasks efficiently.
  • Excellent written and verbal communication skills.
  • High emotional intelligence and professionalism in all interactions.
  • Proven ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficiency with tools such as Notion, Google Workspace, and Microsoft Office Suite.
  • Ownership mindset with the ability to take initiative and work independently.
  • Strong problem-solving skills, adaptability, and a proactive work ethic.
  • 1–3 years of experience supporting a C-level executive or senior leadership role.
