Role & responsibilities
1. Bookkeeping & Accounting
- Maintain accurate and up-to-date books of accounts using accounting software (e.g., QuickBooks Online or similar).
- Record daily financial transactions including income, expenses, invoices, payments, and journal entries.
- Reconcile bank accounts, credit cards, and intercompany transactions.
- Ensure compliance with Generally Accepted Accounting Principles (GAAP).
- Manage accounts receivable / payable, monitor cash flow, and assist in monthly / quarterly closing.
2. Payroll Management
Administer and process payroll for employees and consultants across Texas, New Jersey, California, and New York.Ensure compliance with federal and state payroll tax laws (including FICA, FUTA, SUTA, and state-specific taxes).File and reconcile Form 941, W-2, W-3, 940, and respective state unemployment and withholding returns.Coordinate with HR for onboarding, benefits deductions, and year-end payroll reconciliations.3. Compliance & Financial Reporting
Prepare periodic financial statements (Balance Sheet, P&L,Cash Flow Statement).Assist in the preparation of federal and state filings (IRS Form 1120, Delaware Franchise Tax, and state returns for NY & CA).Support annual audits and respond to queries from CPA firms or tax consultants.Maintain compliance calendars for filing deadlines and ensure timely submissions.4. Other Duties
Assist with budgeting and variance analysis.Liaise with external CPAs, banks, and tax authorities as required.Prepare supporting documentation for year-end filings and audits.Implement internal controls and process improvements for efficiency and accuracy.Preferred candidate profile
Qualifications & Skills
Bachelors degree in Accounting, Finance, or a related field (CPA preferred).3+ years of U.S. accounting experience (C Corporation or multi-state entity preferred).Hands-on experience with QuickBooks Online,Familiarity with U.S. GAAP, federal and state payroll tax laws, and corporate filings.Strong analytical, communication, and documentation skills.
