As an Office Administrative Assistant , you will support the day-to-day administrative operations of the office. This role is ideal for a motivated individual looking to gain hands-on experience in office management, coordination, and support functions in a dynamic work environment.
Responsibilities :
Facilities & Office Management
- Maintain a clean, hygienic, and organized office environment
- Monitor cleanliness and ensure infrastructure, seating, and resources are adequate for all employees
- Coordinate with maintenance staff and arrange necessary repairs promptly
- Ensure proper use of office resources including PCs, laptops, printers, and other equipment
- Inspect and ensure all electrical equipment is turned off after office hours
- Enforce discipline in vehicle parking and general office conduct
- Oversee office catering, pantry services, and lunch management, ensuring quality and quantity
Administration & Documentation
Maintain and file all records systematically, including contracts, POs, letters, and financial statementsTake regular inventory of office supplies and place orders when stock is lowManage procurement and maintain assets and office equipment (printers, scanners, phones, etc.)Distribute internal documents, memos, and notices to relevant departmentsMaintain repository for easy access to important documentsTravel & Logistics Support
Schedule and book travel arrangements including flights, hotels, and transport for employeesCoordinate meeting room bookings, client visits, and internal functionsManage catering, snacks, and gift arrangements during client or guest visitsVisitor & Guest Management
Greet and welcome all visitors, directing them to the appropriate sections or personnelMonitor office security systems and implement precautionary measures as neededEmployee Onboarding & HR Support
Welcome new joiners and provide office tours to help them acclimateAssist new employees with joining formalities and benefits paperworkIntroduce new hires to teams and managers to foster integrationAdditional Responsibilities
Coordinate with external vendors and service providers for facility-related needsAssist in planning and executing internal events, celebrations, or corporate social responsibility (CSR) initiativesSupport ad-hoc administrative tasks assigned by managementSkills & Qualification Required :
Diploma / Degree required (in any field)Excellent written and verbal communication skillsExcellent organizational skills and attention to detail.Excellent time management skillsStrong knowledge of MS Office (Word, Excel, PPT)Ability to multi-task and prioritize worksAbility to function well in a high-paced and at times stressful environment.Able to complete complex administrative tasks with minimal supervisionProficiency in creating presentations using Power BI is preferred.Skills Required
