POSITION DESCRIPTION
Position Title : Customer Service & Invoicing Specialist
Reports To : Hardik Patel, BCFoods India General Manager
Location : Ahmedabad, Gujarat, India
POSITION SUMMARY :
The Customer Service & Invoicing Specialist is responsible for managing order processing, customer communication, and billing activities. This role serves as a key point of contact for customers and internal teams, ensuring orders are processed accurately, shipments are coordinated effectively, and invoices are completed on time. Ensure seamless execution of customer orders and deliver a high level of service by acting as the central coordination point between customers, sales, operations, and logistics teams.
The role is responsible for managing end-to-end order processing, maintaining clear communication with customers, and ensuring timely and accurate delivery for both domestic and export business.This position requires strong attention to detail, clear communication, and the ability to manage multiple priorities in a fast-paced environment.
MAJOR DUTIES :
- Order Management & Billing :
o Enter, process, and confirm customer orders in the ERP system Odoo
o Coordinate with Sales, Operations, and QA to meet delivery timelines
o Manage order updates, shipping changes, and billing inquiries
o Prepare and process invoices, ensuring accuracy and timeliness
o Resolve order and billing discrepancies
o Act as the primary point of contact for assigned customers
o Communicate with customers, brokers, and internal teams in a professional and timely manner
o Handle customer inquiries, requests, and follow-ups professionally
o Address and resolve customer issues, including escalations
o Provide timely updates on order status, dispatch, and delivery
o Coordinate shipments with freight providers
o Track deliveries and resolve transportation issues
o Support freight claims and invoice verification
o Work closely with :
- Sales team for order confirmation and pricing
- Procurement for raw material availability
- Plant for production planning
- Logistics for dispatch scheduling
- Documentation & Invoicing :
o Prepare and verify :

o Ensure all documents are accurate and shared on time
o Document customer complaints and coordinate internal follow-up
o Partner with Operations and QA to investigate issues
o Process credits or RMAs as needed and communicate outcomes to customers

Education and / or Experience :
- Bachelor’s degree in commerce, Business Administration, or related field.
- Minimum two (2) to four (4) years of experience in customer service, order management, or
sales support (B2B preferred).
- Experience handling customer communication, order processing, and coordination with
internal teams.
Preferred :
- Experience in food ingredients, spices, or agri-commodity industry.
- Exposure to export documentation and international customer handling.
- Understanding of logistics, dispatch planning, and invoicing processes.
- Must be fluent in English, both speaking and writing.
- Also, must be able to communicate effectively in local languages (Gujarati / Hindi preferred).
- Acute attention to detail and able to work well in a fast-paced environment.
- Strong organizational, problem-solving, and analytical skills.
- Confidentiality is a critical qualification.
- Flexibility and the willingness to work within an environment of changing priorities with enthusiasm.
- Must have good work habits including working extra hours as needed.
- Microsoft Office Experience is a must (Excel, Word, Power Point, etc.).
