Job Description
Job Title:
Administration Executive / Officer – PESO, Factory Compliance & Liaisoning

Job Purpose:
To ensure full statutory, regulatory, and administrative compliance for an Industrial and Medical Gas manufacturing and filling unit, with primary responsibility for PESO, Factory Act compliances, liaisoning with government authorities, and supporting general administrative activities.
Key Duties & Responsibilities
1. PESO Compliance
- Handle all PESO-related compliances for gas cylinders, cryogenic tanks, storage facilities, filling stations, and transport vehicles.
- Prepare, submit, and follow up applications for:
- Grant, renewal, and amendment of PESO licenses
- Approval of layouts, drawings, and safety distances
- Coordinate and facilitate PESO inspections, audits, and site visits.
- Ensure timely closure of PESO observations and submission of compliance reports.
- Maintain updated PESO licenses, approvals, drawings, and correspondence records.
2. Factory Act & Statutory Compliance
- Ensure compliance with Factory Act, 1948 and applicable State Factory Rules.
- Handle:
- Factory license applications, renewals, and amendments
- Statutory returns, registers, and records
- Coordinate inspections with Factory Inspectorate and other statutory authorities.
- Manage compliances related to:
- Fire Safety Department
- Electrical Inspectorate
- Pollution Control Board (SPCB/GPCB)
3. Government Liaisoning
- Act as the key liaison with government departments including:
- PESO
- Factory Inspectorate
- Fire Department
- Pollution Control Board
- Local authorities and utilities
- Follow up on approvals, renewals, clarifications, and pending submissions.
- Represent the company during inspections, hearings, and official meetings.
- Coordinate with external consultants and safety professionals.
4. Administrative Responsibilities
- Support day-to-day administrative operations of the plant and office.
- Maintain records of licenses, permits, agreements, and statutory documents.
- Coordinate logistics for inspectors, officials, and auditors.
- Assist in drafting SOPs, checklists, and compliance-related documentation.
- Take ownership for vehicle insurances new or renewals and GPA policy.
5. Safety & Compliance Support
- Ensure safety audits, inspections, and mock drills.
- Ensure display and maintenance of statutory notices and safety signages.
- Maintain records of safety training, tool-box talks, and safety meetings.
6. Reporting & Documentation
- Maintain a statutory compliance calendar and tracker.
- Prepare periodic compliance status reports for management.
- Ensure proper filing, indexing, and retrieval of documents.
- Maintain confidentiality and accuracy of all statutory records.
Qualifications
- Graduate in any discipline (Engineering / Science preferred)
- Diploma or certification in Safety / Compliance (preferred but not mandatory)
Experience
- 2–5 years of experience in:
- PESO compliance
- Factory Act compliance
- Liaisoning with government authorities
- (Experience in industrial &medical gases, chemicals, or manufacturing units preferred)
Skills & Competencies
- Good knowledge of PESO rules, Factory Act, and industrial safety norms
- Strong documentation and follow-up skills
- Ability to coordinate with government authorities independently
- Good communication skills (English / Gujarati / Hindi preferred)
- Organized, proactive, and compliance-oriented mindset
