Service Operations & Dispatch Coordinator (100% Work From Home) - HVAC Contact Center

Office Location : Mohali (This job is Remote – Work From Home)

Shift : US Shift (7 : 30 PM – 4 : 30 AM IST during winters) | (6 : 30 PM - 4 : 30 AM IST during Summer)

Working Days : 6 Days (Including Saturdays)

Salary : ₹30,000 – ₹40,000 per month (depending on experience)

The Service Operations & Dispatch Coordinator will serve as the operational backbone of the HVAC service workflow, ensuring smooth coordination between technicians, customers, and internal teams. This role focuses on maintaining real-time accuracy of the dispatch board, validating completion of all field jobs, monitoring membership activities, and ensuring all service and payment details are accurately updated in the CRM. The coordinator will be responsible for daily operational checks, MIS reporting, and identifying gaps in technician compliance or job documentation. With strong communication, analytical awareness, and a high degree of tech proficiency, this role ensures operational efficiency, timely service delivery, and consistent customer experience across the process.

Key Responsibilities :

Manage the daily dispatch board and ensure technicians are assigned correctly.

Verify job completion : equipment list, photos, notes, time spent, and payment collection.

Track missing or failed customer credit cards and ensure they are updated.

Oversee all club memberships : renewals, expirations, missed tune-ups, and recurring payments.

Run daily MIS reports : membership status, renewals, technician compliance, and payment reports.

Send missed tune-up lists to calling teams.

Coordinate closely with technicians and maintain job accuracy in the CRM.

Requirements :

Strong English communication and polished phone etiquette.

Highly tech-savvy; strong CRM knowledge (Service Titan experience preferred).

Admin + dispatch + reporting background (BPO experience ideal).

Ability to work U.S. hours and handle coordination independently.
