Location : Gurgaon, sector-34

Experience : 1 to 2 years

Shift : this is complete night shift (Graveyard shift), 9 : 30 PM to 6 : 30 AM.

18 months of Surety Bond, WFO, Night shift allowances for night shift

Both side cabs for hiring zone arears.

Primary Responsibilities

Classroom Set-up and Maintenance :

Organize room configuration and ensure Health & Safety measures are in place.

Verify IT equipment functionality before each session and act as a contact for troubleshooting during sessions.

Maintain and tidy training rooms, ensuring supplies are replenished as needed.

Order refreshments for the session from local facilities.

Materials and equipment management :

Distribute training materials and allocate equipment like projectors and flipcharts.

Ensure specific equipment is delivered to appropriate classrooms.

Room booking :

Support room booking activities, including setting up video conferences and accessing classroom allocation systems.

Site access management :

Handle access requests and security requirements for participants and trainers.

Desk activities :

Act as the main contact for training participants and instructors, assisting with guidance and issue resolution.

Interface with IT, Facility Management, and other support functions.

Attendance and evaluation management :

Print and distribute attendance sheets, collect and scan them post-session.

Share QR code / QRG with facilitator for feedback at the end of the session.

Session closure process :

Ensure all session closure processes are complete, including the destruction of leftover materials and storage of attendance sheets.

Share session expense detail and submit invoices on system

Social events and catering :

Help to book social evening activities and external visits to local attractions.

Organize transport for social events.

Share the participants’ dietary needs and food orders with local vendors.

Travel arrangements :

Support participants in connecting with the local team to obtain visa invite letters.

Share local taxi booking details to PAs of senior attendees.

Communicate check-in and check-out information with participants for onsite hotels.

Deliverables :

Manage logistics for sessions.

Provide monthly room occupancy reports.

Ensure 100% of sessions have attendance sheets printed and scanned on time.

Requirements :

Proficiency in English.

Ability to adapt to varying business days and working hours per location.

Strong organizational and communication skills.

Experience in facilities administration and training support preferred.
