Role Overview
We are looking for a Procurement & Vendor Manager who will own sourcing, vendor management, rate negotiations, and procurement for all workspace build-outs and operational requirements. This role is ideal for someone who is analytical, negotiation-savvy, highly ethical, and enjoys optimizing costs without compromising quality. You will work closely with the Design, Operations, Facilities, and Finance teams to ensure timely procurement and vendor efficiency for both new centre launches and ongoing operations.
Key Responsibilities
- Prepare Bill of Quantities (BOQs) for new projects in coordination with design, operations, and site teams
- Identify, evaluate, and onboard vendors for furniture, fixtures, equipment (FF&E), interiors, facility services, consumables, and AMC services
- Request, compare, and analyse quotations from multiple suppliers to ensure best pricing, quality, and value
- Lead negotiations on pricing, payment terms, delivery timelines, service SLAs, and contracts with suppliers and contractors
- Maintain a strong vendor database, including rate cards, compliance documents, performance history, and service scorecards
- Track and manage purchase orders, delivery timelines, and ensure on-time fulfillment for project and operational requirements
- Partner with Operations and Facilities teams to resolve vendor issues, delays, quality concerns, or non-compliance
- Monitor procurement budgets, track spends, and drive cost optimization initiatives without compromise on standards
- Maintain procurement documentation for GST, invoicing, compliance, and audit requirements
- Build long-term, ethical, and positive vendor relationships while ensuring accountability and performance
