Job Summary
The Executive Assistant I provides high-level administrative support to Senior Executives - Managing Director (MD) –AGS India. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant I will work closely with other leaders in the region and across departments to ensure the successful planning and execution of activities that align with the company's strategic goals.
Overall Responsibilities
Executive Administrative Duties :
- Administrative Support : Provide comprehensive administrative support to the MD & Senior executives, including managing calendars, scheduling meetings, coordinating travel arrangements and submitting expenses
- Communication : Serve as the primary point of contact between the MD and internal / external stakeholders. Handle correspondence, emails, and phone calls with professionalism and confidentiality.
- Event Planning : Plan, coordinate and manage corporate events, conferences and board meetings. Offsite and team-building activities. Handle logistics, corporate gifting, incentive trips to ensure successful execution. Coordinate with global teams for Global Leadership visits. Monitor and evaluate event performance, providing post-event reports and recommendations for improvement.
- Research and Analysis : Conduct research and provide insights on various topics as requested by the senior executives. Compile data and create reports to support decision-making.
- Meeting Coordination : Prepare agendas, take minutes, and follow up on action items for meetings. Ensure the MD is well-prepared for all engagements.
- Project Management : Assist in the planning and execution of special projects and initiatives. Track progress and ensure deadlines are met.
- Confidentiality : Maintain the highest level of confidentiality and discretion in handling sensitive information.
- Travel : Open to travel in short notice for business purposes.
Qualifications, Education, Knowledge, Experience
Bachelor’s degree in business administration, Communications, hospitality management or hotel management or a related field preferred.Minimum of 6+ years of experience as an Executive Assistant or in a similar role supporting senior executives.Strong organizational and time management skills.Excellent written and verbal communication abilities.Proven experience in planning and managing regional events.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Ability to work independently and as part of a team.High level of professionalism and discretion.Strong problem-solving skills and attention to detail.
