We are looking for a highly organized, proactive, and detail-oriented Administration Executive to join our team in Gurgaon, Haryana.
The Role
The Administration Executive will be the backbone of our office operations, ensuring the smooth and efficient running of all administrative and support functions. This role requires excellent organizational skills, a professional demeanor, and the ability to manage multiple tasks simultaneously in a fast-paced corporate environment.
Key Responsibilities
Office Management : Oversee the daily operations of the Gurgaon office, ensuring office is well maintained and operating efficiently.
Administrative Support : Provide high-level administrative support to the management and various departments, including preparing documents, presentations, and reports.
Travel Coordination : Arrange and manage all domestic and international travel logistics, including flights, accommodation, visas, and detailed itineraries for company staff.
Record Keeping : Maintain and organize both digital and physical filing systems for critical company documents, contracts, and correspondence with high accuracy.
Vendor and Procurement Management : Handle procurement of office supplies, equipment, and services. Manage relationships with vendors, negotiate terms, and process invoices.
Communication : Serve as the primary point of contact for internal and external communication, handling phone calls, emails, and correspondence in a professional manner.
Required Skills & Qualifications
Experience : 2-4 years of proven experience in an Administrative Executive, Office Manager, or Senior Administrator role. Experience in the Shipping, Logistics, or Maritime sector is a significant advantage.
Education : Bachelor's degree in Business Administration, Commerce, or a related field.
Communication : Absolutely Mandatory : FLUENT written and verbal communication skills in English are essential for all business correspondence and coordination with global partners.
Technical Proficiency : Advanced knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook).
Advantageous Skill : Knowledge of AI Tools (e.g., for document summarization, drafting correspondence, or data analysis) is a distinct advantage.
Professionalism : High degree of professionalism, integrity, and ability to handle confidential information with discretion.
