About the role
The Contracts Officer reports to the Head of Strategy, Business Support and International Relations and works closely with the Company Secretary. This role requires experience in end-to-end contract and grant management, including administration, milestone tracking, reporting, and acquittals.
The position is responsible for coordinating and submitting milestone reports and supporting the implementation of strong contract and grants governance practices, including expanding the use of contract management software across the organisation. It suits a self-starter who applies consistent administrative processes, maintains neutrality and independence, and ensures compliance with probity requirements across all activities.
What you'll do
- Coordinating the implementation of grant programs in line with organisational and funding requirements.
- Supporting the rollout and ongoing improvement of contract management processes.
- Expanding the use of contract management software Folio across the organisation.
- Coordinating and submitting milestone reports, including activity workplans, performance updates, and financial reporting.
- Ensuring the accuracy and quality of funding agreement and grant data.
- Managing the full grant lifecycle : receive and process applications, facilitate payments, maintain records, and monitor / report on outcomes and acquittals.
- Maintaining probity, transparency, and good governance throughout all stages of the grants process.
Who we're looking for
headspace is seeking someone with :
- Demonstrated experience in the administration and reporting of grant programs.
- Financial administration experience.
- High level attention to detail.
- Demonstrated expertise in the use of contract management software, with a strong preference for experience with Folio.
- Highly developed verbal and written communication skills.
- Ability to work in a highly productive environment with time pressures whilst managing multiple tasks.
- Advanced computer skills including word processing, spreadsheets and database applications.
- Exceptional interpersonal skills with the ability to work with a broad range of people from a variety of backgrounds and experiences.
