About the Role :
A proactive and well-organised Workplace Experience Executive to manage daily office operations, support internal teams, and ensure smooth functioning of administrative activities. Hands-on experience in office management, vendor handling, documentation, and front-office support is essential.
KEY RESPONSIBILITIES
1.
Office & Facility Management
Oversee day-to-day office operations and housekeeping. Coordinate with facility vendors (housekeeping, security, pantry, maintenance). Monitor office supplies, raise purchase requests, and track inventory. Ensure meeting rooms, common areas, and workstations are well-maintained.
2.
Front Office & Customer Handling
Manage reception desk, incoming calls, emails, and visitor entry. Handle courier services—dispatch, tracking, and inward records. Coordinate meeting schedules and support internal events.
3.
Documentation & Reporting
Maintain admin files, vendor contracts, AMC agreements, and compliance documents. Prepare and manage MIS reports : petty cash, admin expenses, monthly dashboards. Maintain employee attendance, access cards, ID cards (where applicable).
4.
Travel & Logistics Coordination
Arrange travel bookings, accommodation, cab services for employees. Manage calendar schedules for internal meetings and external appointments.
5.
Procurement & Vendor Management
Collect quotations, compare pricing, and assist in vendor onboarding. Ensure timely processing of vendor bills, follow-ups, and service delivery.
6.
HR & Onboarding Support
Support HR in onboarding, induction, documentation, and employee engagement. Assist with maintaining staff records and leave / attendance registers.
Skills & Competencies
Strong communication and interpersonal skills.
Good knowledge of MS Office (Excel, Word, PowerPoint).
Ability to multitask, prioritize, and follow processes. Experience in handling vendors, facility management, and administration.
Problem-solving mindset and ability to work with minimal supervision.
Qualifications
Graduate in any discipline. 2–4 years of hands-on experience in office administration.
