Job description

Position : Tendering Executive – Steel industries Tender Sourcing (DI Pipe)

Department : Sales / Business Development

Location : Ahmedabad

Reporting to : Sales Head / Commercial Head

1. Job Purpose

Responsible for identifying, sourcing, evaluating, and submitting tenders related to steel procurement and supply. Ensures timely tender tracking, documentation, costing, and compliance for government, PSU, and private sector steel-related tenders.

2. Key Responsibilities

A. Tender Sourcing & Tracking (Steel-Specific)

  • Identify and source steel-related tenders from :
  • GeM Portal
  • CPPP (Central Public Procurement Portal)
  • State Government Portals
  • PSU websites (SAIL, RINL, BHEL, NTPC, PGCIL, Railways, etc.)
  • EPC companies requiring steel supply

Maintain a daily tender tracker for steel categories such as :

  • DI Pipe
  • HR / CR coils
  • Plates
  • Billets, Slabs, Wire Rods
  • Share tender updates with management and sales teams regularly.

    B. Tender Analysis & Feasibility

  • Study tender documents to understand :
  • o       Technical specifications for steel grades and sizes

    o       Commercial terms (EMD, tender fees, payment terms, penalties)

    o       Delivery requirements (FOB / Ex-stock / Project site)

    o       Eligibility criteria (turnover, experience, certifications)

  • Coordinate internally to evaluate feasibility based on :
  • o       Stock availability

    o       Pricing trends

    o       Logistical requirements

    o       Supplier capabilities

    C. Steel Market Data & Rate Collection

  • Coordinate with steel mills, traders, and suppliers to collect daily / weekly pricing.
  • Analyze market trends for :
  • o       Raw material price movement

    o       Inventory levels

    o       Supply-demand patterns

  • Prepare cost sheets, rate comparisons, and pricing strategies for tender bidding.
  • D. Tender Documentation & Submission

  • Prepare technical and commercial documents including :
  • o       Technical Bid (Specifications, catalogs, compliance sheets)

    o       Financial Bid (Price schedule, breakup)

    o       Authorization letters, certifications, past supply records

    o       GST, ISO, PAN, NSIC / Udyam, and company documents

  • Ensure timely online and offline submission of all tender documents.
  • Manage tender forms, portal uploads, DSC tokens, and payment of tender fees.
  • E. Coordination & Internal Communication

  • Coordinate with :
  • o       Procurement team (for purchase rates and supplier approvals)

    o       Quality team (specifications, mill test certificates)

    o       Logistics team (freight, delivery timelines)

    o       Finance team (payments, costing, EMD, PBG)

  • Ensure cross-department collaboration for accurate bid preparation.
  • F. Post-Tender Activities

  • Track tender results, LOA, and contract award notifications.
  • Prepare win / loss reports and maintain tender MIS.
  • Assist in contract signing, purchase order review, and documentation.
  • Maintain digital and physical tender records for audits and compliance.
  • 3. Skills & Competencies Required Technical Skills

  • Strong understanding of steel products, grades, and specifications.
  • Practical knowledge of tendering processes (Govt / PSU / Private).
  • Hands-on experience in : GeM, CPPP, State e-procurement portals, MSTC, IREPS, SAIL tenders
  • Proficient in MS Excel (pivot tables, formulas) and PDF handling.
  • Knowledge of costing, taxation (GST), logistics, and commercial terms.
  • 4. Qualification & Experience

    Qualification : Graduate (B.Com / BBA / B.Tech) / MBA preferred.

    Experience : 3–5 years in steel tendering, steel sourcing, or commercial roles.

    Industry Preference : Steel plants, steel trading companies, EPC contracting, engineering goods.

    5. Key Performance Indicators (KPIs)

    Number of relevant steel tenders sourced monthly.

    Accuracy and timeliness of tender submissions.

    Win ratio of tenders.

    Accuracy of steel costing and pricing inputs.

    Supplier rate collection efficiency.

    Quality of tender documentation with zero errors.

    Effective coordination with internal teams.
