EON Meditech Pvt. Ltd., based in Gujarat, India, is a pioneering organization specializing in the development and manufacturing of surgical implants and instruments, particularly in the ENT (Otorhinolaryngology) field. With a focus on Otology, EON Meditech is the first company in India to produce Titanium Middle Ear Implants and related instruments for advanced Micro Ear surgeries such as Tympanoplasty and Stapedectomy. The company’s product portfolio includes ENT implants, ear instruments, rhinology products, laryngology products, and innovative plasma surgery systems. EON Meditech is dedicated to advancing the ENT medical field with its unique, high-quality products.

Role Description

This is a part-time remote role for an Executive Assistant to the Managing Director at EON Meditech Pvt. Ltd. The Executive Assistant will handle day-to-day tasks including managing the Managing Director's diary and calendar, coordinating meetings and appointments, addressing administrative requirements, and providing executive support. Effective communication, both internally and externally, will be a key part of the role.

1)    Provide sophisticated calendar management for Director. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.

2)    Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events : schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of Board Secretary. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.

3)    Complete a broad variety of administrative tasks that facilitate the Director’s ability to effectively lead the organization, including : assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.

4)    Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Director, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect Director’s style and organization policy.

5)    Work closely with the Director to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the Director updated. Anticipate Director’s needs in advance of meetings, conferences, etc.

6)    Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed.

7)    Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the Director and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team. Complete projects by assigning work to appropriate staff, including the Executive Team, on behalf of the Director.

8)    Work with the Executive Team to coordinate the Director’s outreach activities. Follow up on contacts made by the Director to cultivate ongoing relationships.

9)    Manage all aspects of organization’s office services. Evaluate and assist in developing office policies and procedures for improved work flow and anticipate future needs as organization grows. Assist in the selection of vendors and purchase equipment, services, and supplies necessary for operation of organization.

10)  Manage information systems operations including hardware, software, desktop support, internal telecommunications, and strategic systems development and planning. Provide leadership to all levels of the organization to meet their current and future information needs. Prepare budget recommendations.

11)  Provide event management support as requested.

12)  Provide hospitality to all guests and help to create a welcoming environment.

13)  Answer main phone line and respond to inquiries.

14)  Process and distribute daily mail.

15)  Invest in building long-lasting relationships both externally and internally.

16)  Manage petty cash reimbursements and reconciliation.

17)  Other projects / duties as assigned for the overall benefit of the organization.

QUALIFICATIONS :

1)    Strong ability to execute work with a diversity, equity, and inclusion lens.

2)    Significant executive support experience, including supporting C-level executives.

3)    Expert proficiency with Microsoft Office; ability to design and edit graphic presentations and materials.

4)    Technical proficiency and problem-solving skills.

5)    Strong verbal and written communication skills.

6)    Exceptional organizational skills and impeccable attention to detail.

7)    High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and funded partners.

8)    Make appropriate, informed decisions regarding priorities and available time.

9)    Ability to complete a high volume of tasks and projects with little or no guidance.

10)  Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.

11)  Able to maintain a high level of integrity and discretion in handling confidential information.

12)  Excellent judgment is essential.

13)  Ability to switch gears at a moment’s notice.
