Dispatch Coordinator

About the Role

The role will be responsible to plan, execute, and monitor all dispatches in a timely, cost-effective, and SOP-compliant manner , ensuring zero discrepancies, minimal breakage, operational discipline, and seamless coordination with transporters, warehouse teams, project teams, installation partners, and end users.

Key Responsibilities

• Plan dispatches based on FIFO and order priority
• Verify survey, feasibility, and material readiness before dispatch
• Escalate delays impacting cost, time, or inventory build-up
• Select lowest-cost and most suitable transporter per route
• Optimize load planning and track OTIF transporter performance
• Handle breakage / shortage cases as per SOP
• Document every incident with photos, LR, POD, packing list & acknowledgement
• Maintain shortage / rectification register and follow up until closure
• Ensure correct packing, LR values, documentation, and claim timelines
• Notify insurance partners within defined periods
• Manage disputes among transporter, installer, farmer, and warehouse
• Address unloading issues, wrong routes, farmer availability, etc.
• Issue invoice, e-way bill, LR, packing list, and serial number list
• Ensure POD collection within 48–72 hours
• Track and update serial numbers for asset-mapping
• Escalate slow-moving stock, transporter failures, delivery delays
• Track pending supply items and plan next dispatch closure
