Detail-oriented and proactive Tender Manager with strong experience in sourcing companies, coordinating with OEMs, managing tender operations, and leading teams to ensure accurate and timely submission of tenders. Skilled in pricing negotiations, documentation control, logistics coordination, and cross-department workflow management to maximize business opportunities and compliance.
Key Responsibilities
1. Tender Sourcing & Strategy
- Identify and source eligible companies / OEMs for upcoming tenders across government and institutional segments.
- Analyse tender opportunities and assess feasibility, competition, and pricing strategy.
- Maintain updated knowledge of GeM, CPPP, and state procurement portals.
2. Coordination & Vendor Management
Coordinate with OEMs for pricing, updated product information, authorization letters, and compliance documents.Lead negotiations with OEMs to secure competitive pricing, discounts, and commercial terms.Build and maintain vendor relationships to ensure consistent support for tender submissions.3. Tender Document Management
Gather all tender documents from OEMs and companies and ensure paperwork is complete and updated.Organize, review, and verify tender requirements—technical, financial, and legal.Maintain a structured repository of all tender documents, approvals, and correspondence.4. Team Delegation & Workflow Management
Delegate tender-related tasks to the tender team and monitor progress closely.Guide the team in preparing BOQs, compliance sheets, and required formats.Conduct internal reviews to ensure accuracy and prevent rejection.5. Pricing & Commercial Analysis
Prepare pricing sheets, costing, and margin analysis for each tender.Ensure all commercial terms, taxes, and delivery conditions are appropriately captured.Work with accounts and finance teams for tax-related inputs.6. Logistics & Delivery Coordination
Coordinate with the logistics and delivery team to ensure timely dispatch of goods for tender supply.Track dispatch schedules, GRNs, delivery challans, and ensure adherence to tender delivery timelines.Address delivery-related issues (delays, shortages, documentation) and ensure smooth order completion.7. Compliance & Submission
Ensure all tenders adhere to company compliance standards and OEM authorizations.Oversee final submission of tenders on portals, via email, or physical formats.Track document validity for ISO, MSME, GST, OEM certificates, etc.8. Post-Tender Activities
Follow up on bid status, technical queries, and clarifications.Coordinate demos, trials, and any site visit requirements.Assist in negotiation meetings and contract finalization.9. Reporting & Analytics
Maintain dashboards for tender pipeline, submissions, and win–loss analysis.Provide weekly reports to management on ongoing and upcoming tenders.Recommend process improvements for more efficient tender handling.Skills
