Location :  Mumbai, India (Hybrid)

Working Hours :  Overlapping India time and US Time Zones (Eastern Time)

Experience Level :  5-10 years

Role Overview

We are looking for a highly organized and proactive Personal Assistant to support the CEO (based in New York) in his day-to-day activities. The ideal candidate will ensure seamless coordination, efficient follow-ups, and structured task management while working closely with key stakeholders. This role requires someone with strong communication skills, excellent time management, and the ability to work independently in a fast-paced environment.

Key Responsibilities :

  • Task & Email Management :
  • Track, organize, and respond to emails, ensuring timely follow-ups.
  • Prioritize key messages and bring urgent matters to Owen’s attention.
  • Maintain a structured To-Do List and follow up on pending tasks.
  • Meeting Coordination & Follow-ups :
  • Schedule and organize meetings across different time zones.
  • Take clear and concise notes, summarizing key takeaways.
  • Ensure action items from meetings are tracked and followed up.
  • Operational & Administrative Support :
  • Organize Owen’s calendar efficiently, ensuring seamless scheduling.
  • Assist in preparing reports, presentations, and business documents.
  • Manage confidential data and sensitive information with discretion.
  • Stakeholder Communication :
  • Liaise with internal teams, external clients, and vendors as needed.
  • Ensure smooth coordination between the Mumbai and NYC teams.

Requirements

  • 5-10 years of experience as a Personal Assistant / Executive Assistant supporting senior management.
  • Strong organizational and multitasking skills, with a proactive approach.
  • Excellent verbal and written communication skills in English.
  • Organised Task Management + Ability to work independently and prioritize effectively.
  • Comfortable working in US time zones (Eastern Time preferred).
  • Proficiency in Microsoft Office Suite, Google Workspace, and productivity tools like Notion, Slack, Asana, etc.
  • Preferred Qualifications :

  • Experience working in a global business environment with cross-border teams.
  • Familiarity with e-commerce, jewelry, or tech-driven businesses is a plus.
  • Strong problem-solving skills and a keen attention to detail.
