Key Responsibilities :
We are seeking a candidate who can manage the team's calendar effectively for operations management overseeing task allocation and ensuring that product delivery timelines are met.
Daily Calendar Management :
oOrganize and update calendars for the team ensuring priorities are clear and deadlines are met.
oSchedule meetings and coordinate tasks to keep the team on track.
oFollow up with team members to ensure deadlines and systems are adhered to.
Notion & Task Management :
oManage and update the studio’s Notion platform setting tasks and deadlines.
oMonitor task progress and ensure timely completion.
Operations & HR Support :
oHandle operational tasks such as tracking attendance and managing office supplies.
oAssist with HRrelated functions including creating rolespecific review sheets and managing offboarding tasks.
Leads Organization & Data Management :
oGather and organize leads and contact information.
oMaintain databases including tracking visiting cards and other contact details.
Workspace & Event Coordination :
oOversee workspace organization including ordering supplies and coordinating with vendors.
oPlan and organize studio events such as team activities celebrations and workshops.
Front Desk & Visitor Management :
oGreet and assist visitors clients and vendors at the front desk.
oAddress any visitor needs and ensure a welcoming environment.
Additional Responsibilities :
oBalance daily tasks with longterm goals and priorities.
oAct as a liaison between the team studio leadership and external vendors to ensure smooth communication.
oStay updated with tools like Notion and adapts to new productivity tools as needed.
Qualifications :
Proven experience in office coordination administration or a similar role.
Strong organizational and multitasking skills with attention to detail.
Proficiency in using productivity tools such as Notion or similar platforms.
Excellent communication and interpersonal skills.
Ability to work independently and as part of a team in a fastpaced environment.
