Position Title : HR & Administrative Officer

Role Overview

We are seeking a motivated HR & Administrative Officer to provide comprehensive support in human resources and administrative operations. The ideal candidate will excel in multitasking, have strong organizational skills, and bring experience in handling administrative tasks, HR functions, and vendor coordination.

Key Responsibilities

Human Resources

  • Assist in end-to-end recruitment processes, including job postings, CV screening, scheduling interviews, and follow-ups.
  • Maintain employee records, contracts, and HR databases.
  • Manage leave tracking, attendance, and payroll inputs.
  • Support onboarding and offboarding processes for employees.
  • Assist in organizing training sessions, workshops, and capacity-building activities.

Administrative Support

  • Manage office operations, including inventory, stocks, and supplies.
  • Coordinate travel arrangements, including ticket booking, visas, and accommodation.
  • Handle vendor management, procurement, and contract negotiations.
  • Maintain documentation, filing systems, and ensure compliance with organizational policies.
  • Support event planning and logistics for meetings, conferences, and workshops.
  • Coordination & Communication

  • Act as the point of contact for internal and external communications.
  • Liaise with vendors, service providers, and consultants to ensure smooth operations.
  • Coordinate schedules, meetings, and maintain calendars for the team.
  • Compliance and Reporting

  • Ensure compliance with HR and administrative policies.
  • Prepare reports on HR and administrative activities for management.
  • Assist in audits, compliance checks, and policy updates.
  • Qualifications and Skills

    Education

  • Bachelor’s degree in Business Administration, Human Resources, or a related field.
  • Experience

  • 2-4 years of experience in HR and administrative roles, preferably in an NGO or corporate environment.
  • Skills

  • Strong knowledge of HR processes, recruitment, and leave management.
  • Excellent organizational and time management skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and HR management software.
  • Strong interpersonal and communication skills.
  • Ability to handle sensitive information with confidentiality.
  • Proactive, detail-oriented, and capable of working independently.
