Summary :   VES is looking for a  Administration Assistant   to join our team in Faridabad, India location. This person will be responsible for the organization and coordination of office operations, procedures, and resources to facilitate organizational effectiveness and efficiency. Support day-to-day operations related to administration, facility improvement, housekeeping, and security.  Follows company safety policies and procedures. This role requires a proactive individual who can effectively collaborate with various departments to ensure a well-functioning and secure work environment.          Essential Duties and Responsibilities include the following. Other duties may be assigned. 1. Administration : Assist in managing daily administrative tasks, including scheduling appointments, coordinating meetings, and managing correspondence. Maintain and update company records, databases, and filing systems. Prepare reports, presentations, and documents as required by the management team. Assist in organizing company events and gatherings. 2. Facility Improvement : Collaborate with the facilities management team to identify areas for improvement in the workplace. Assist in coordinating maintenance, repairs, and renovations of the office premises. Manage inventory of office supplies and place orders when necessary. Assist in monitoring and managing office equipment and assets. 3. House Keeping : Oversee and ensure the cleanliness and organization of the office space, including common areas, meeting rooms, and workstations. Coordinate with external vendors for janitorial and cleaning services. Regularly inspect the premises to identify and address any cleanliness or maintenance issues. 4. Security : Collaborate with the security team to implement and maintain security protocols and procedures. Monitor access control systems and maintain accurate records of employee and visitor access. Assist in conducting routine security checks and drills to ensure staff awareness. Act as a point of contact for security-related concerns and incidents. 5. Communication and Collaboration : Liaise with various departments to ensure smooth communication and coordination of tasks. Assist in disseminating relevant information to staff regarding administrative, facility, housekeeping, and security matters. Maintain effective communication channels with external vendors and service providers. Education and / or Experience : Knowledge of facility operations and products. Bachelor’s degree in administration or equivalent degree. MSW is preferred. Basic knowledge of maintenance department administration, procedures, budgets, planning, scheduling, and personnel requirements. At least 3-5 years of Proven experience in administrative support roles. Experience in a manufacturing environment is preferred. Show proficiency in Microsoft Office, including MS Outlook, Word, PowerPoint, and Excel Excellent communication and interpersonal abilities.
