Facilities Management includes roles within Facilities Management (e.g. office real estate acquisition & property management, purchasing related to office facilities including canteen services, etc.); Facilities Planning (e.g. space and workplace planning and assessments); Facilities Services (e.g. security, maintenance & repair, custodial & groundskeeping services, kitchen staff within offices).
Roles and Responsibilities :
1.Soft Services Facility Mgmt.
Taking facility round of both the floors & ensuring proper cleaning & hygiene is maintained.
Co-ordination with contract staff and ensure seamless daily operations, Preparing snag list.
Briefing of HK & Security staff twice in a month.
SOP Mgmt. Ensure appropriate SOPs are prepared, Implemented, adhered and necessary results are achieved
MMR Preparing monthly decks showcasing the health of the facility dept.
2.Procurement
Agreement Renewals Hands on experience in monthly recurring purchase related to Hsk, stationery, printing, etc. material from registered vendor
Able to get new vendor onboarded for any of customized items
Well versed with the procurement methodology and have in depth knowledge of purchase and contract renewal in facilities domain
3.Contract Mgmt.
Contract Staff Mgmt. Managing the Contract Staff Team
Taking daily attendance and other necessary inputs from the contract team
Speaking with the ground staff and ensuring floor, cafeteria, restroom, upkeep & hygiene is maintained able to implement appropriate checks and Balance for seamless operations
Agreement Renewals Ensuring all Technical & Non-Technical services and agreements are in Place
All AMC, Contract, Agreement, PO's are Tracked till closure and Renewals are done within due date
52 weeks planner is prepared, tracked and executed
4.Hard Services
TechnicalMaintenance and operation of all electromechanical equipment's E.g. HVAC, FAPA, UPS, PAC, iBEMS systemics, Access, Rodent, NOVAC, VESDA, WLD, Fire Extinguisher, Kitchen Equipment's and all MEP related things.
TransportWell versed with the Mumbai Routings
Hands on experience in Bus Transport Mgmt.
Able to adopt to the technical interface of Transport mgmt. and well versed in customizing reports
In depth knowledge of required compliance in the transport domain
5.Security
Well aware of necessity of physical security in office
Able to create Job Profile as per specific post
Well versed with Fire Fighting, FAS system, iBEMS, Training, etc.
Knowledge of Material Movement & Other important register
Electronic Security - CCTV, Access Card, Etc.
Awareness of HSE guideline
Exposure to Compliance (TA, DA, PCC, PASARA, etc.)
6.Budgeting
Aware of Accruals, Invoicing, GST, etc. process
Aware of invoicing processing, validation, Invoice - PO Tracker
Knowledge of Tally software
Accruals Vs actual Analysis ; Budgeting, Cost Control, Cost Saving, etc.
7.Asset Mgmt.
Well versed with the Assets validation and tracking of assists
Looking For :
Good with Email Writing, Excel, Formulas (v&h lookup, pivot, countif, formatting, sum, etc.)
Good with preparing excel reports, ppt, DL Mailers, etc.
Worked with Food and Fun Committee for Organizing events
Cost Saving, Analysis, Innovative Mindset, Analytical Thought process
Well versed with compliance in facilities domain (Labour, PCC, PASARA, Police, MSEB, MPCB, etc.)
Parking Mgmt.
Preferred with some certification (QMS, OSHAS, PMP, IFMA, HIRA, etc.)
