Job description

Reception Desk and Office Management :

  • Serve as first point of contact for visitors and perform receptionist duties
  • Work alongside the Facility Manager in providing entire office administration functions.
  • Monitor office supplies place supply orders when necessary.
  • Support the onboarding of new hires and offboarding of exiting employees.
  • Assist in organising social engagements and team events.
  • Monitor and log office expenses and costs.
  • Coordinate with the transportation vendor to ensure smooth staff transportation services.
  • Firstaid and local evacuation assistant and warden.
  • Other adhoc administrative duties as assigned.

Deputising Local Facility Manager

  • Work with building management and service providers to ensure adequate maintenance of office premises and timely servicing and repair of all office equipment.
  • Manage relationships with the external vendors including timely payments.
  • Partner with HR IT and other stakeholders to ensure smooth office operations.
  • Global Real Estate Duties :

  • Member of the Global Travel Team. Liaise with local travel management companies to coordinate travel arrangements and hotel reservations for international trips of our staff
  • Member of the Global Badge Team. Assist in managing office access for our locations globally.
  • Audit Coordinator : Evidence collection for global controls (e.g. ISAE)
  • Other ad hoc (technical) support duties for the global real estate team as assigned
  • Qualifications :

  • Bachelors degree in real estate facilities management building technology management or related field.
  • 12 years of relevant work experience
  • Proficient in the use of all Microsoft Office tool in particular Microsoft Excel
  • Handson with a cando positive attitude
  • High level of attention and accuracy on detailed work tasks superb organization skills with ability to prioritize manage multiple tasks and projects and meet deadlines.
  • Selfmotivated with the ability to work independently and as an integral member of the team in Pune as well as in rest of Asia and Europe
  • Excellent communication and interpersonal skills with good command of spoken and written English.
