Job Overview

We are seeking a Junior Admin Assistant for our Chennai office. This is a full-time position requiring 1 to 3 years of work experience. The Admin Assistant will support our team with various administrative tasks, ensuring the smooth operation of our office functions. This role offers the opportunity to work with a leading financial services provider.

Qualifications and Skills

  • Proficiency in Microsoft Office Suite is essential for managing documents and communications.
  • Experience in calendar management to effectively organize meetings and appointments.
  • Understanding of document management systems for efficient filing and retrieval.
  • Strong communication skills to interact with clients and internal teams effectively.
  • Must have personal secretary skills for providing administrative support to managers.
  • Proficient in shorthand writing to accurately transcribe meetings and discussions.
  • Ability to handle multiple tasks simultaneously while maintaining attention to detail.
  • Experience in a similar role within the financial services industry is desirable but not mandatory.

Roles and Responsibilities

  • Assist in the preparation of regularly scheduled reports and maintain data entries.
  • Manage the appointment schedules for executive staff through effective calendar management.
  • Handle incoming calls, emails, and correspondence while directing them to appropriate departments.
  • Organize and schedule meetings and appointments to optimize workplace efficiency.
  • Coordinate office activities and operations to secure efficiency and compliance with company policies.
  • Perform clerical duties such as filing, typing, copying, binding, and scanning documents.
  • Support in procurement of office supplies and maintain an inventory of stock.
  • Act as the point of contact for internal and external clients, ensuring their needs are met promptly.
