Job description

We are seeking a dedicated and detail-oriented individual to join our Law firm as a Legal Assistant. The successful candidate will play a crucial role in supporting our legal professionals in handling immigration applications. This position involves a combination of administrative tasks and client communications. This role requires strong organizational skills, attention to detail, and the ability to work in a fast-paced legal environment.

Key Responsibilities :

1. Document Preparation & Administrative Support :

  • Assist in drafting and preparing immigration forms, letters, and supporting documents.
  • Organise and manage immigration applications, ensuring accuracy and compliance with internal company process.
  • Maintain proper file management, both digital and physical where applicable.
  • Schedule and coordinate client meetings, interviews, and appointments.
  • Manage lawyers’ and advisers’ calendars, ensuring deadlines are met.
  • A professional, client-focused approach with strong problem-solving abilities.

2. Client Communication & Support :

  • Communicate professionally with clients to gather necessary information and documents.
  • Provide updates to clients regarding their application status and respond to general enquiries.
  • Ensure a high standard of communication via email, phone, and in-person interactions at all times.
  • Contact Immigration New Zealand’s contact centre for case updates and client information, as instructed by the adviser / lawyer.
  • 3. Compliance & Legal Support :

  • Stay updated on immigration laws, policies, and procedures to assist legal professionals.
  • Monitor changes in immigration regulations and assist in updating internal processes accordingly.
  • Ensure compliance with immigration deadlines and maintain accurate records of client interactions and application developments.
  • Perform other duties as directed by the immigration adviser or lawyer from time to time.
  • Maintain strict confidentiality of client files and cases; do not share or distribute any client information outside the business, as this can lead to legal consequences.
  • Job Requirements :

  • Bachelor’s in business / law / accounting or similar field.
  • At least 01-year experience in an administrative role preferred.
  • Typing speed of at least 40 WPM with high accuracy.
  • Skills & Attributes :

  • Strong organisational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with professionalism.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and ability to learn our internal CRM software.
  • Knowledge of New Zealand’s immigration processes (preferred but not essential).
  • Experience in social media management, content writing, or digital marketing is a plus.
