We are currently seeking an Agency Operator to join our expanding team in Mumbai. This is a great opportunity for someone that is looking to build a career in the exciting world of shipping. As an Agency Operator, the successful candidate plays a vital role in the shipping industry acting at the centre of agency operations on a global basis.

Applicants with 1-3 years working experience in ship agencies, ship operations or vessel accounting is advantageous. We are looking for someone with great soft skills, highly motivated, committed and driven, with the ability to work independently as well as part of a team.

Primary Duties and Responsibilities

• Attend to our internal stakeholders’ requirements.
• Nomination of husbandry agents worldwide, and maintain a list of the local offices attending.
• Preparing and gathering port costs pre and post departure of vessels
• Follow our vessel movements worldwide
• Data entry or monitoring of costs into various online systems.
• Overseeing and monitoring performance of local agents, and suppliers
• Finalising Port calls and prepare costs for our accounts to pay.
• Preparing, checking against tariffs, and finalising port disbursement accounts of vessels for husbandry matters
• Acting as single point of reference to our agents worldwide and develop a strong relationship with our partner agents.
• Monitoring changes in port situation
• Ensure correct preparation and entry of port costs / husbandry costs.
• Ensure correct completion of port costs / husbandry costs and ensure that agency costs are settled timely.
• Communicating with internal stakeholders, Port Agents, Suppliers, and other voyage associated parties to meet their requirements and timescales to obtain a quick turnaround at the best possible cost.
• Ensure written procedures and documentation is completed correctly as per the internal written instructions.
• Maintain and monitor Master’s Evaluation Forms and to act / respond where necessary.
• Ensure regular supply of Port Information including but not limited to Market Intelligence by Port Agents.
• Be proactive in identifying and implementing cost savings and report to line manager.
• Out of office hours including weekends maybe required. This can be performed remotely if, and when necessary.
• File data and perform other routine clerical tasks as needed.
• Perform duties in an efficient, professional, and courteous manner and ensure 100% coverage of the workstation.
• Establish and maintain effective working relationships with co–workers and managers so as to understand all necessary aspects and needs of the business.
• Maintain regular, consistent, and professional attendance, punctuality, and personal appearance.
