Job Role Responsibilities

Space Management Optimizing the use of office space, ensuring that it meets the needs of employees and the organization. This includes overseeing office layouts, coordinating moves, and allocating space efficiently.

Maintenance and Repairs Oversee the maintenance and repair of the office facilities, including heating, ventilation, and air conditioning (HVAC) systems, plumbing, electrical systems, and other infrastructure. They may coordinate with maintenance staff or external contractors to ensure timely repairs and upkeep.

Health and Safety Compliance Ensure that the office complies with health and safety regulations. This involves conducting regular inspections, implementing safety protocols, and addressing any hazards or concerns to maintain a safe working environment for employees.

Security Management Responsible for implementing and managing security measures to protect the office premises, assets, and employees. This may include installing security systems, CCTVs, monitoring access control, and coordinating emergency response procedures.

Vendor Management Liaise with vendors and service providers to procure necessary goods and services for the office, such as cleaning services, office supplies, and equipment maintenance. They negotiate contracts, oversee service quality, and manage vendor relationships.

Budgeting and Cost Control Develop and manage the facility budget, ensuring that expenses are controlled while maintaining the quality and functionality of office facilities. This involves forecasting costs, tracking expenses, and identifying opportunities for cost savings.

Environmental Sustainability Implement initiatives to promote environmental sustainability within the office, such as energy conservation, waste reduction, and recycling programs. They may also pursue certifications or compliance with green building standards.

Emergency Preparedness Develop and maintain emergency response plans to address various scenarios, such as fires, natural disasters, or other emergencies. This includes conducting drills, training staff on emergency procedures, and ensuring the availability of emergency resources.
