About the role
We are seeking a highly organized and proactive Executive Assistant to support the CEOs Office. The ideal candidate will be an exceptional multitasker with strong communication skills, a high level of discretion, and the ability to handle confidential information. You will play a critical role in managing the CEOs calendar, coordinating strategic initiatives, and ensuring smooth day-to-day operations within the executive team.
Responsibilities
- Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and prioritize correspondence, including emails, phone calls, and other communications.
- Draft reports, presentations, and other documents as required by the CEO for meetings, conferences, and board sessions.
- Handle day-to-day operational tasks for the CEOs office to ensure efficiency and effectiveness.
- Coordinate and maintain the CEO’s complex calendar and schedule, ensuring all appointments, meetings, and events are aligned with priority business goals.
- Anticipate needs and proactively schedule time for strategic thinking, high-priority discussions, and key business events.
- Screen calls, respond to inquiries, and handle routine matters without requiring CEO involvement.
- Coordinate logistics for both internal and external events, including company-wide meetings, board meetings, and executive leadership gatherings.
- Prepare agendas and ensure timely distribution of relevant documents before meetings.
- Serve as a primary point of contact between the CEO and internal / external stakeholders, including senior executives, clients, and board members.
- Handle confidential and sensitive information with the highest degree of professionalism, discretion, and integrity.
- Ensure the CEO’s time and priorities are protected while maintaining a high level of confidentiality for all internal and external communications.
What you’ll need
Exceptional verbal and written communication skills. Ability to communicate effectively with individuals at all levels of the organization.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and other business productivity tools. Experience with project management software (e.g., Asana, Trello) is a plus.Strong time management skills with the ability to juggle multiple priorities in a high-pressure environment.Meticulous attention to detail with a high standard for accuracy and organization.Ability to think critically, anticipate needs, and solve problems independently.Qualification : -
Bachelor's degreeMinimum of 3 years of experience in an executive support role, ideally in a fast-paced corporate environment.
