Role Overview
The Vendor Management Specialist will be responsible for managing end-to-end engagement with external recruitment vendors and subcontractors to support Prolifics' talent acquisition needs. This role involves coordinating vendor relationships, ensuring contractual compliance, tracking vendor performance, and maintaining accurate and transparent records related to vendor engagements, timesheets, and payments.
The ideal candidate will have a proven track record in recruitment vendor coordination, strong attention to detail, and a high level of financial integrity.
Key Responsibilities
1. Vendor Relationship & Coordination
- Act as the single point of contact for recruitment vendors and staffing partners.
- Liaise with agencies to source suitable profiles for internal interviews in line with Prolifics' hiring needs.
- Ensure vendors adhere to Prolifics' sourcing guidelines, SLAs, and compliance standards.
- Monitor vendor performance metrics such as turnaround time, quality of profiles, and closure ratios.
2. Contract Management & Compliance
Coordinate the execution and renewal of Master Service Agreements (MSA) , Statements of Work (SOW) , and Non-Disclosure Agreements (NDA) .Ensure all vendor documentation and contracts are current, compliant, and stored systematically.Work with legal and finance teams to resolve any discrepancies or contract-related issues.3. Financial Coordination & Governance
Manage vendor timesheet submissions, review for accuracy, and ensure timely approvals.Coordinate with the finance team to process vendor payments, issue payment advises, and resolve any invoicing discrepancies.Maintain transparency and accountability in all financial dealings, ensuring alignment with organizational governance standards.4. Vendor & Subcontractor Resource Management
Track all vendor and subcontractor resources deployed on projects within the project management system .Maintain data hygiene by ensuring that all records, resource statuses, and contract validity dates are accurate and up to date.Monitor onboarding and offboarding processes for vendor resources.5. Reporting & Data Management
Maintain dashboards and periodic reports on vendor performance, open positions, and payment status.Ensure data integrity in recruitment and project management systems.Support audits and compliance reviews with accurate documentation and timely reporting.Qualification and Experience
Education : Bachelor's degree in Business Administration, Human Resources, Finance, or related field.Experience : 4–7 years of experience in vendor management, recruitment coordination, or staffing operations , preferably in an IT services organization.Proven experience managing recruitment vendors and subcontractors end-to-end.Strong understanding of MSA / SOW / NDA processes and vendor compliance requirements.Familiarity with timesheet management and vendor payment workflows.High level of financial integrity , ownership, and accountability.Proficiency in Excel, project management tools, and recruitment systems (e.g., Zoho, Oracle, or equivalent ATS).Key Competencies
