Job Summary :

The Assistant Voyage Manager will be responsible for the voyage management of vessels assigned and support the Ops Team with record keeping and system related tasks as required. Backing up the Team in Pre-fixtures / Operational requirements during Lean hours, to ensure smooth, efficient, and economical voyage execution.

Task & Responsibilities :

Assist the Chartering Department in collating the information required by customers during the pre-fixture negotiations.

To liaise and coordinate with Master / Brokers / Charterers, Agents, Internal departments on efficient & to facilitate smooth execution of the voyage on a 24 / 7 basis.

Monitor voyage progress (Delivery / Redelivery notices, SOF, Off Hires, Claims)

Checking Bill of Lading and preparing LOI

Liaising with accounting and prepare summary of outstanding, receivables.

Ensure timely collection of all receivables to improve cash flow.

Contest / defend and negotiate claims.

To ascertain that the vessel optimizes cargo intakes & to ensure vessel is sufficiently bunkered to perform the intended voyage with adequate safety margins.

To negotiate and appoint port agents, plan bunker stems as per grades permissible to trading areas.

To bill for freight and other charterers claims and coordinate with post fixture group.

Post fixture inputs to Claims Coordinators

Review and approval of Port Disbursement accounts.

Record keeping and Data Management in company systems (IMOS).

Review Variance Reports and discussing with the Voyage Manager before finalizing for sending to the management.

Maintain Off hire records

Qualification & Experience :

Graduation or equivalent degree

Sailing experience as 2nd Officer or 3rd Officer plus minimum 1 years’ experience in commercial operations

Knowledge & Skills :

Has a good understanding of the Charterparties & Post Fixture operations

The candidate should be able to work independently but also feel comfortable collaborating and communicating across all levels of the organization.

Good at negotiations and communications

This position commands very close liaison with overseas office thus working shifts of late hours is a requirement.

Database skills. Familiar to Shipping Software like IMOS is desirable.

Proficient in handling Outlook and other MS Office applications.
