Job Description : Position Summary :

The Secretary will provide administrative and secretarial support to ensure smooth operations. The ideal candidate will have excellent organizational skills, strong communication abilities, and a keen attention to detail. This role requires professionalism, discretion, and a proactive approach to assist in the efficient management of the activities.

Key Responsibilities :

Administrative Support :

# Manage and organize the schedule, including arranging meetings, appointments, and travel plans.

# Prepare and handle correspondence, reports, and documents, ensuring accuracy and timely delivery.

# Maintain and update files, databases, and records, ensuring easy retrieval and confidentiality.

Communication :

# Serve as the primary point of contact for internal and external communications, including answering calls, emails, and inquiries.

# Coordinate with other departments and external partners, maintaining professional and effective communication.

# Assist in planning and organizing events, conferences, and meetings, including logistics, invitations, and materials.

# Prepare meeting agendas, take minutes, and follow up on action items.

Confidentiality and Discretion :

# Handle sensitive information with utmost confidentiality and discretion, maintaining the trust.

Qualifications and Skills :

  • Bachelor's degree in Business Administration, Marketing, Communications, or a related field preferred.
  • 2-4 years of experience in an administrative or secretarial role, preferably with previous experience reporting to Senior Executives / MD / CEO.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
  • Excellent written and verbal communication skills, with a professional demeanour both in Tamil and English.
  • Strong organizational and multitasking abilities, with attention to detail and accuracy.
  • Ability to work effectively with diverse teams and build positive relationships.
  • Proactive and resourceful, with strong problem-solving skills and the ability to prioritize tasks.
