Position Overview :
The Travel Team Lead will be responsible for managing the Global Travel Coordinator and Travel Team Administrator based in the Bengaluru office. The Lead position oversees travel bookings made by the local travel coordinator but also arranges travel bookings as part of the role. In addition, all travel invoices and expense report requirements will be overseen by this role.
The Global Travel Coordinators in each region and the Travel Team Lead in Bengaluru are responsible for organising all aspects of corporate travel arrangements for the firm, using the preferred Travel Management Company (TMC). The Global Travel Coordinators ensure that all travel arrangements are made efficiently, cost-effectively, accurately and in accordance with company policies and procedures. The Travel Team Administrator is responsible for all aspects of travel invoicing and expense reports.
The team members work independently but as part of a local and global team.
Responsibilities :
- Coordinate and book travel arrangements globally, including flights, accommodation, rail, and other necessary arrangements.
- Use the Squarepoint travel request form within the Office Management Service Desk (Jira)
- Screen travel requests to ensure enough detail and authorization are in place to complete the booking requirements.
- Keen eye for detail, i.e., spotting ‘out of policy’ travel requests.
- Research and compare prices, availability, and quality of travel options such as flights, hotels, and train tickets to secure the best rates and accommodation.
- Arrange travel through the online booking tools and TMC travel offline consultant teams.
- Ensure all travel arrangements are accurate, complete, and aligned with the traveller’s requirements.
- Manage travel invoices and expense reports via the Workday Expense Management system.
- Assist employees in resolving any travel-related issues or emergencies, including flight cancellations and missed connections, etc. This may occur outside of business hours on occasion.
Required Qualifications :
Minimum of 5+ years of travel-related work experience, preferably as an international travel consultant or travel coordinator.Experience in managing small teams.Knowledge of Online Booking Tools, and an understanding of the background of travel systems (GDS).Strong customer service orientation.Experienced in using helpdesk software, i.e., JIRA or Zendesk.Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.Ability to work effectively in a team-oriented environment with all levels of organization.Ability to work independently with minimal supervision.Strong written and verbal communication skills with a positive, friendly, and enthusiastic approach but firm when required.Advanced Microsoft Outlook skillsIntermediate working knowledge of Excel and Word
