Job Title : Office Manager / Director s Assistant (EA)

Reports to : Directors

Established in 1983 Foods Sevices company provides food solutions to corporate cafes employee meals and industrial canteens. With headquarters in Gurgaon its business operations span over 10 states.

The Office Manager / Directors Assistant (EA) will play a crucial role in ensuring the smooth and efficient operation of the directors office. This position involves handling various administrative and executive support tasks managing the daytoday office operations and acting as the directors key point of contact. The ideal candidate will be highly organised detailoriented and capable of managing multiple responsibilities with professionalism and discretion.

Key Responsibilities :

Executive Support :

o Serve as the primary point of contact between the director and others.

o Manage and coordinate the directors calendar including scheduling meetings appointments and travel arrangements.

o Prepare and edit correspondence presentations reports and other documents on behalf of the director.

o Handle confidential and sensitive information with the utmost discretion.

Office Management :

o Oversee the daily operations of the office ensuring a wellorganized efficient and productive work environment.

o Serve as a liaison between the directors office and other departments facilitating communication and collaboration.

Administrative Support :

o Handle incoming and outgoing communications including phone calls emails and mail.

o Assist with budgeting expense tracking and financial reporting for the directors office.

o Maintain accurate records files and databases ensuring information is uptodate and easily accessible.

Project Management :

o Assist the director in planning coordinating and executing special projects.

o Monitor project timelines deliverables and followups ensuring projects are completed on time and within scope.

o Prepare project reports summaries and presentations as required.

Relationship Management :

o Build and maintain positive relationships with clients vendors and partners.

o Coordinate and manage the directors interactions with key stakeholders ensuring timely and effective communication.

Qualifications :

o PG in Business Administration Office Management or a related field preferred.

Experience :

o Minimum of 5 years of experience in an office management or executive assistant role.

o Proven experience managing complex schedules office operations and executive support.

Skills :

o Strong organizational and multitasking abilities with excellent attention to detail.

o Excellent verbal and written communication skills.

o Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook) and other office management software.

o Ability to work independently and as part of a team with a proactive and problemsolving attitude.

o High level of professionalism and discretion in handling confidential information.

o Ability to work in a fastpaced environment and manage multiple tasks simultaneously.

Work Environment :

This position is primarily based in an office environment. Occasional travel may be required for meetings events or projectrelated activities.
